Role
Aman is seeking a highly organized and proactive Executive Assistant to provide dedicated support to the Chief Operating Officer (COO). Based in our Baar, Switzerland corporate office, this role offers exposure to senior leadership, strategic projects, and global operations within a fast-paced, luxury hospitality environment.
As a trusted partner, you will be responsible for managing complex schedules, coordinating executive communications, supporting projects, and overseeing office administration while upholding the highest standards of discretion, professionalism, and attention to detail.
Responsibilities
- Provide comprehensive calendar support, including meetings, calls, and travel coordination.
- Prepare, edit, and format documents, presentations, and reports for executive and board-level meetings.
- Handle executive correspondence and communications with professionalism and discretion.
- Coordinate meeting preparation, including compiling agendas, briefing materials, and follow-up minutes.
- Organize logistics for conferences, events, and board sessions, including venue, catering, and guest arrangements.
- Track and process executive expenses, ensuring accurate reporting and reconciliation.
- Assist with financial coordination, including budget tracking and data analysis.
- Maintain accurate records, filing systems, and ensure confidentiality of sensitive information.
- Oversee general office coordination in Baar, including supplies, vendor relationships, and building management.
- Support special projects and initiatives while ensuring timely follow-up on executive priorities.
Requirements
- A bachelor’s degree in business administration, finance, or a related field is preferred.
- 3–5 years’ experience in an executive assistant or senior administrative role within an international setting.
- Strong organizational and time-management skills, with proven ability to handle multiple priorities.
- Excellent written and verbal communication skills in English; German or other languages are an advantage.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to work independently and exercise sound judgment with competing priorities.
- Proven discretion and integrity in handling confidential and sensitive information.
- Strong problem-solving skills with meticulous attention to detail.
- Adaptability to thrive in a fast-paced, high-pressure environment with shifting demands.
- A proactive, self-motivated professional eager to grow within a dynamic global organization.
- This position does not attract visa sponsorship. Candidates must already have existing permission to live and work in Switzerland. Documented evidence of eligibility will be required as part of the recruitment process.
