About the Role
As Personal Assistant to the CEO, you will play a critical role in enabling the CEO to operate at their best.
You'll act as a strategic gatekeeper, problem-solver, and organizer-managing priorities, coordinating complex schedules, and ensuring seamless day-to-day operations in a fast-paced, global environment.
This is a highly visible role requiring discretion, sound judgment, exceptional organizational skills, and a proactive, solutions-oriented mindset.
Job Requirements
What We're Looking For
- Proven experience (+3 years) as a Personal Assistant or Executive Assistant supporting a senior executive, ideally in a fast-paced tech or scale-up environment
- Exceptional organizational and time-management skills, with the ability to juggle multiple priorities calmly and effectively
- Strong written and verbal communication skills in English (additional languages a plus)
- High emotional intelligence, sound judgment, and the ability to build trust at all levels
- Proactive, detail-oriented, and comfortable anticipating needs before they arise
- Tech-savvy and confident using productivity tools (AI tools, Google Workspace, Slack, Zoom, etc.)
- Comfortable working with ambiguity and adapting quickly in a dynamic environment
Job Responsibilities
What You'll Do
- Act as a trusted right hand to the CEO, managing a complex and ever-changing calendar across multiple time zones
- Coordinate internal and external meetings, including executive leadership sessions, board meetings, and investor interactions
- Prepare agendas, briefing materials, presentations, and follow-ups to ensure meetings are impactful and well-run
- Manage travel arrangements end-to-end (flights, accommodation, itineraries, visas as needed)
- Serve as a key point of contact between the CEO and internal/external stakeholders, handling communications with professionalism and discretion
- Track key action items and priorities, following up to ensure timely execution
- Handle confidential and sensitive information with the highest level of integrity
- Continuously look for ways to improve efficiency, processes, and ways of working around the CEO's office
