Job Description

The Executive Assistant to the Chief Executive Officer is a leadership role responsible for supporting executive-level operations, managing a team of administrative professionals, and ensuring the seamless execution of meetings, scheduling, and process improvements.

This position will provide high-level operational and administrative support to the Executive team, including the Chief Executive Officer, Chief Financial Officer and Board of Directors, while managing a team of administrative assistants.

Essential Duties and Responsibilities

  • Schedule and manage weekly, monthly, and quarterly meetings, including manage invites, create agendas, run presentations, and take meeting minutes.

  • Schedule and manage recurring meetings for Executives (CEO, CFO, and other senior leaders), including Board of Directors and Consultants.

  • Prepare Board Agendas and create Board Books through Boardvantage portal

  • Lead, mentor, and manage a team of administrative assistants, ensuring high-quality support across the organization.

  • Hiring processes, such as scheduling interviews and onboarding new hires.

  • Process purchase requests and oversee monthly receiving tasks in Oracle for various Executives and departments.

  • Act as the point of contact for executive travel coordination with Travel department by arranging private and/or corporate travel.

  • Assist with corporate compliance and annual licensing activities.

  • Handle meeting logistics for various on and off-site meetings by organizing meeting logistics, agenda, reserving conference rooms or venue, and ensuring follow-up items are handled.

Supervisory Responsibilities        

Manages assigned staff in various segmented operations, training and vendor management areas. Responsible for the overall direction, coordination, and evaluation of the unit. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Supports and enforces all company policies and procedures in a fair and consistent manner, taking corrective action whenever necessary.

Client Responsibilities

This is an internal client facing position that requires excellent customer service skills and interpersonal communication skills (listening/verbal/written). One must be able to; manage difficult situations, respond promptly to client needs; solicit feedback to improve service; respond to requests for service and assistance and meet commitments to clients.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Leadership skills with experience managing administrative teams. Proficiency in software tools such as Oracle, DocuSign, Workday, and Boardvantage. Strong organizational, communication, and problem-solving abilities. Exceptional attention to detail and ability to multitask in a fast-paced environment.

Ability to handle confidential and sensitive information with discretion.

Education and/or Experience  

Associate’s degree required, Bachelor’s degree preferred or equivalent combination of education and related experience. Must have a minimum of 9 years’ experience supporting senior leaders, with at least 6 years supporting C-level executives. Experience providing administrative support to a Board of Directors is preferred. 3 years of supervisory experience required; 4 years of MedImpact experience plus an appropriate external leadership training program and internal mentorship with a seasoned leader (Director or above) that must completed within 12 months in new position may substitute for the supervisory experience requirement.

                                               

Computer Skills                                           

Advanced PC skills using Teams, MS Outlook and MS Office Suite (Word, Excel, PowerPoint) and Visio.

Work Location

This is an on-site position. Must be available to work from San Diego Headquarters for purposes of providing adequate support to internal clients; being available for face-to-face interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as for facilitation of quick and effective decisions through collaboration with stakeholders.

Working Hours

This is an exempt position. Therefore, one must have the ability to work nights, weekends or on holidays if required. This may be changed at any time to meet the needs of the business.  The typical working hours for this position are Monday through Friday from 8:00am to 5:00pm.

Travel

This position requires no travel however attendance maybe required at various local conferences and meetings.
