The Executive Assistant to the CEO and Board of Directors provides high-level administrative support to the CEO and acts as a liaison with the Board of Directors. This role requires exceptional organizational and communication skills, attention to detail, and the ability to handle sensitive information with discretion. The incumbent holding this position must have a proactive mindset and be self-motivated, detail oriented, and calm under pressure. Partnering with the CEO and acting as a corporate communicator, this person must also effectively deliver messages to employees, the Board of Directors, and outside parties with whom the company conducts business, representing the company and the office of the CEO with professionalism. The ability to understand the company’s strategy and interpret it into actions in the day-to-day activities of the CEO is critical.
Requirements
EDUCATION
Bachelor’s degree in business, communications, or a related field. In lieu of degree, five (5) years’ experience as a high-level executive assistant will be considered.
EXPERIENCE
Seven (7) years’ experience as a high-level executive assistant with five (5) years’ supporting C-level executives. May substitute executive assistant experience with an associate or bachelor’s degree in business, communications, or a related field.
Extensive experience in project management, communications, or corporate function support.

ResponsibilitiesActs as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated., Acts as a liaison between the CEO, senior management team, and external stakeholders., Acts as a liaison with the national Blue Cross Blue Shield Association on a variety of issues, including serving as the central point of contact for reporting executive assignments to national committees using the ServiceNow platform., Arranges detailed travel plans, itineraries, and agendas for the CEO and board members., Arranges internal and external meeting logistics; room set up, technical requirements, submit visitor form, escort external visitors, and catering., Assists in the onboarding process for new board members., Assists the CEO in managing, prioritizing, and completing various projects and initiatives., Communicates directly, and on behalf of the CEO, with board members and internal and external constituencies on a variety of matters, including the CEO’s priorities and strategic initiatives., Conducts research and compiles data to support decision-making., Coordinates and manages logistics for executive meetings, events, and conferences., Ensures effective communication flow within the executive office and with the board., Maintains and organizes confidential files and records., Manages office supplies, equipment, and facilities to ensure a smooth working environment., Manages the CEO’s extremely active calendar, including scheduling meetings, appointments, and travel arrangements. Must have flexibility in scheduling ad-hoc requests and work collaboratively with the administrative team to align schedules., Oversees the general administrative functions of the executive office, including collaborating with the administrative team as needed., Oversees the web-based content management portal used for distributing and housing board materials., Plans, schedules, coordinates, and prepares materials for board meetings, committee meetings, and events. , Prepares and distributes board agendas, minutes, and other relevant documents., Prepares and edits correspondence, reports, presentations, and other documents., Prepares travel expense reports and ensures timely reimbursement., Represents the CEO in interactions with internal and external parties as required., Screens and prioritizes incoming communications (emails, phone calls, etc.) for the CEO., Serves as a point of contact for board members, addressing their inquiries and requests promptly., Tracks progress on key deliverables and ensure deadlines are met.
