We’re seeking an exceptional Executive Assistant (EA) to provide direct support to our CEO and CFO. This task master role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and has a track record of supporting C-suite leaders with precision, confidentiality, and professionalism.
What you'll achieve :
- Precision Scheduling: Manage complex and rapidly changing calendars for the CEO and CFO, ensuring priorities are clearly defined and scheduling conflicts are resolved quickly.
- Global Logistics: Execute all aspects of domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
- Board & Investor Liaison: Coordinate and manage scheduling for major committee and board meetings and manage DocuSign distribution, as needed.
- Financial Administration: Process and reconcile expense reports and corporate credit card transactions using platforms such as Emburse/Certify, Concur, or Expensify.
- Data & Comms Content: Create, edit, and format professional presentations, reports, and communications using both Google Workspace and Microsoft Office 365.
- Confidential Communications: Handle confidential information with discretion and professionalism while maintaining trusted relationships with internal and external stakeholders.
- Deliverables Tracking: Track executive deliverables and key initiatives to ensure deadlines are met and priorities remain aligned across the leadership team.
- Event Planning: Plan and execute executive meetings, team offsites, and small corporate events, including vendor coordination and budgeting.
- Cross-Functional Collaboration: Collaborate closely with the People & Culture, Finance, and Legal teams to support organizational initiatives and maintain efficient internal processes.
What you'll need to be successful:
- 5+ years of experience directly supporting C-suite executives (CEO, CFO, COO, etc.) Ideally in a high-growth technology or medical device environment.
- Demonstrated mastery in calendar management and travel logistics for multiple executives.
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Meet) and Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
- Experience managing expenses and corporate credit cards in Emburse/Certify, or equivalent systems.
- Exceptional written and verbal communication skills; proven ability to interface with board members, investors, and physicians.
- Strong attention to detail, organizational excellence, and follow-through on deliverables.
- Proven discretion handling confidential and sensitive company information.
- Experience coordinating Board of Directors logistics or investor communications.
- Demonstrated success in event and meeting planning (retreats, off-sites, small corporate functions).
- Expert in bottom line and up front communication style, delivering complex updates in concise, actionable formats that minimize the executives cognitive load.
- Demonstrated high-output task management.
A candidate’s final salary offer will be based on their skills, education, work location and experience, and thus it may differ from the posted range. Compensation may also include bonuses consistent with Ceribell’s corporate compensation plan.
