Senior Executive Assistant 

8x8 is seeking a dynamic Senior Executive Assistant to support the offices of the Chief Product Officer, and Chief Customer Officer. The Senior Executive Assistant will manage many complex administrative scenarios and operational tasks integral to the global organization. The ideal candidate must be an intuitive self-starter, with strong interpersonal skills who adapts well to a fast-paced environment while consistently identifying and addressing the needs of the Executive team.

Core Responsibilities

  • Act as the Executives’ gatekeeper and trusted partner maintaining confidentiality and professionalism in all situations.

  • Effectively triage the Executives’ time commitments, interruptions and priorities using a high level of discretion, tact and judgment.

  • Manage the Executives’ calendar and email inbox including drafting internal and external communications on their behalf when required.

  • Prepare Executives for all internal/external meetings in order to support positive meeting outcomes.

  • Organize and maintain cadences of important meetings, including agenda planning, and follow-up on action items ensuring that the priorities for the Executive are cascaded to key cross-functional partners.

  • Anticipate the Executives’ needs and proactively bring together appropriate people and resources to support the Executive in addressing various issues.

  • Seamlessly coordinate extensive air and ground travel, hotel reservations, visas, and all relevant travel documentation. Collate receipts and submit monthly expense reports.

  • Manage multiple tasks while pivoting at a moment’s notice to address anything of higher priority as it develops.

  • Build efficiency and effective responsiveness into existing administrative operations and help define new operational strategies.

  • Partner with key stakeholders to better align company goals.

  • Own and execute on special projects as directed.

  • Be a mentor to other administrative team members and share best practices.

The successful candidate will:

  • Be a high caliber, polished individual comfortable interacting with internal and external Executives, Board members and other VIPs.

  • Possess a strong sense of urgency balanced with the ability to remain calm under pressure.

  • Be an expert at adapting to an ever-changing environment at the Executive level and across the corporate landscape.

  • Display a passion for solving complex problems.

  • Demonstrate a strong business acumen to ensure priorities match the needs of the business.

  • Be highly collaborative, quietly confident, and able to work with minimal oversight.

 

Experience and Education

  • Minimum of 10+ years supporting C-Suite level Executives in the high-tech industry, with experience in high growth software companies highly desired.

  • Excellent verbal and superior writing and report presentation skills.

  • Exceptional organization skills and excellent attention to detail.

  • Able to handle multiple tasks in a fast-paced and time-sensitive environment while maintaining strict confidentiality.

  • Tradeshow/events management and/or other marketing and communications related experience desirable.

  • Expert in G-Suite and MS Office Suite tools and competent in learning and using technology to improve work efficiency. Solid experience with Coupa a plus.

The compensation range reflects the Company’s good faith belief at the time of posting. 8x8 has different base pay ranges for different work locations within the United States, which allows us to pay employees competitively and consistently in different geographic markets. The range above reflects the potential base pay across the U.S. for this role; the applicable base pay range will depend on what ultimately is determined to be the candidate’s primary work location. Further, individual base pay depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience, knowledge, success, education and skills. Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time. Certain roles are eligible for additional rewards, including discretionary merit increases, bonus and/or stock. Certain roles have the opportunity to earn sales variable compensation incentives based on the terms of the plan and the employee’s role.

Salary Ranges:

$106,500.00 - $177,500.00
