As an Executive Assistant to our Chief Business Officer (CBO), you will be a key player in helping make everyday life here at Xero tick.
The ideal person for this role will love a challenge, be a planner and a doer, find comfort working in a never-changing and fast-paced environment, and be happy to pitch in where needed. You have more than strong admin skills to offer, your ability to communicate effectively and think proactively is second to none. You are the kind of person that is always one step ahead, planning and prioritising constantly as you go.
Success in this role looks like the smooth management of daily operations, quick and effective decision making, owning and managing a range of tasks and projects. You’ll be working alongside our XLT so a supportive, collaborative and can-do attitude is a must!
What you’ll do
Active and accurate scheduling and diary/meeting management for all (high volume) inbound and outbound requests for the XLT member. Knowing how/what to prioritise is essential.
Be the key point of contact for requests for visiting XLT/Board members and manage each request to completion or point the request to the relevant contact.
Strong written and verbal communication; listens well and can easily learn to communicate in someone else’s “written voice”.
Prepare agendas, minutes, and other papers in a timely and accurate manner, including assisting.
Executives in the preparation, reporting, and analysis.
Coordinate extensive and complex domestic and international travel plans.
Provide excellent coordination and administration support to the Executive team as and when required e.g processing expenses, accounts, and other administrative support.
Jack-of-all-trades, with experience in wide-ranging or cross-functional areas, and an eagerness to learn new skills.
Able to prioritise conflicting needs proactively and with follow through.
Strategic thinker, data-driven and analytical in approach to solving problems.
Systems and process-thinker; loves creating order out of chaos.
Attending XLT offsites to support the team may be required and would involve global travel.

Comfortable working behind the scenes to support senior leaders, anticipating needs and helping others perform at their best
Versatile, adaptable, and willing to work beyond the immediate remit while acting as an ambassador and champion for Xero
Significant experience supporting C-level or senior executives, ideally in a listed or fast-growth global business, with relevant business experience or qualifications and familiarity with Google Workspace preferred

The expected base salary range for this role is $106k - $132,500.
Individual pay is determined by various factors, including geography, level of experience, and the specific skills you bring to the role.
In addition to base pay, Xero’s roles are eligible for the following forms of variable compensation:
Variable Pay: Permanent employees are eligible to participate in our annual bonus and equity (RSU) programs. You may also be eligible for performance-based cash or equity (RSUs) incentives depending on your role level, and company performance.

Skills Required
- Significant experience supporting C-level or senior executives
