Position Summary:

The Executive Assistant will provide high-level executive and strategic support to a leader within the C-suite Executive Leadership team.

This role serves as a trusted partner to the executive they support, managing complex priorities, while maintaining the highest levels of professionalism, discretion, judgment, and confidentiality.

This role requires exceptional judgment, anticipation of executive needs, strong business acumen, and the ability to manage multiple priorities in a fast-paced, highly visible, global environment.

Given the nature of supporting senior executives in a global consumer and brand organization, flexibility is required, including availability outside standard business hours when business needs arise, particularly around major business meetings, global travel, brand and marketing milestones, events, and other critical activities.

What You Will Do

  • Provide comprehensive administrative and executive support to the leader and their team.
  • Manage extremely complex and dynamic calendars across multiple stakeholders, functions, geographies, and time zones, balancing competing priorities while anticipating and resolving scheduling conflicts.
  • Maintain a strong understanding of executive priorities to ensure time and attention are appropriately allocated against the most important business, consumer, brand, and organizational priorities.
  • Proactively identify calendar conflicts, emerging issues, or competing demands and recommend solutions in a timely manner.
  • Coordinate complex domestic and international travel, including detailed itineraries, transportation, accommodations, visas when required, and meeting and event logistics.
  • Prepare, reconcile, and submit executive expense reports in a timely manner.
  • Monitor and prioritize meeting requests, communications, and other incoming demands, using sound judgment to determine urgency and appropriate action.
  • Draft, edit, proofread, and distribute executive correspondence, presentations, agendas, briefing materials, and meeting documents.
  • Ensure executives are appropriately prepared for meetings by coordinating relevant information, materials, participants, and pre-reads.
  • Coordinate executive engagement with external agencies, strategic partners, talent, vendors, and other important external stakeholders as required.
  • Support planning and execution of leadership meetings, town halls, offsites, global gatherings, and organization-wide events.
  • Serve as a liaison between the executives and their respective leadership teams, helping ensure timely follow-up on key initiatives, decisions, commitments, and action items.
  • Maintain visibility to key milestones and proactively flag potential conflicts, dependencies, or areas requiring executive attention.
  • Maintain organizational charts, contact lists, team information, distribution lists, and other relevant organizational resources.
  • Support onboarding logistics for senior leadership hires and coordinate administrative needs across the relevant leadership teams.
  • Identify opportunities to simplify processes, improve information flow, and enhance the effectiveness of executive and leadership team operating rhythms.
  • Process invoices, memberships, subscriptions, purchase requests, and other administrative requirements.
  • Manage highly sensitive business, organizational, people, brand, and commercial information with exceptional discretion.

What You Will Bring – your experience

  • Exceptional professionalism with outstanding interpersonal, verbal, and written communication skills.
  • Demonstrated ability to maintain the highest level of confidentiality while exercising sound judgment and discretion.
  • Strong organizational, planning, and time-management skills with meticulous attention to detail.
  • Ability to anticipate executive needs, see around corners, proactively solve problems, and manage competing priorities independently.
  • Strong judgment regarding what requires executive attention, what can be delegated, and what can be resolved independently.
  • Proven ability to thrive in a fast-paced, dynamic, highly visible environment supporting senior executives.
  • Strong project management and coordination skills with the ability to execute multiple initiatives simultaneously.
  • Excellent relationship-building skills and the confidence to work effectively across all levels of the organization, including Executive Leadership Team members and senior external stakeholders.
  • Ability to build trusted relationships across functions while navigating a complex, highly matrixed organization.
  • Proven ability to work effectively in an international environment, taking cultures, languages, geographies, and time zones into consideration when communicating and coordinating globally.
  • Strong business curiosity and an interest in understanding the consumer, brand, marketing, and commercial context behind the work.
  • Ability to operate with agility and composure as priorities evolve, while maintaining exceptional standards of execution.
  • High level of proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience supporting global marketing, consumer, brand, creative, commercial, retail, or other consumer-facing leadership is preferred.
  • Experience with complex travel management, expense reporting systems such as Concur, and collaboration platforms is preferred.
