As the Executive Assistant to the Asia Pacific (APAC) Leadership Team, you will report to the Area Head of HR APAC, and your foremost responsibility is to offer comprehensive support to four senior executives overseeing HR, Commercial, and Marketing functions, encompassing all aspects of office and business planning administration. This involves managing expenses, coordinating executive travel, preparing monthly reports, and collaborating on Departmental events with the CEO’s Executive Assistant. You will support with the execution of major APAC events such as regional conferences and team offsites, contributing to the seamless functioning of daily business operations for the Group.
Job Description
Time Management & Meeting Preparation
You will ensure efficient use of lead times by coordinating meetings and tracking action items and follow-ups. You will also assist in meeting preparation by coordinating and building necessary materials and taking notes.
Travel Coordination
You will coordinate team travel (domestic and international), including arranging flights, accommodation, and preparing trip itineraries for executives and guests.
APAC Offsites, Events & Team Activities
You will support your department to plan their Functional Offsites in market. You will play a pivotal role in coordinating logistics (accommodation and travel), including research, location arrangement, team activities, and training materials setup. In addition, you will support the organization of social events, celebrations, and gifting for the APAC Team.
Communication & Relationship Building
You will communicate effectively across all business levels and act as the main point of contact for administrative tasks across the APAC region. In addition, you will cultivate strong relationships with key stakeholders to ensure effective communication between the team and the business.
Reporting, Expense Management & Day-to-Day Administration
You will provide general business assistance to senior executives, including administration, meeting coordination, monthly department reporting, expense submission, and ad-hoc presentation coordination. You will also manage distribution lists, organizational charts, and team business reporting for executives.
Collaborating with APAC Head Coach Executive Assistant
You will collaborate and workshop together with the APAC Head Coach Executive Assistant to fulfil APAC’s vision for regional conferences and events on an annual basis which include APAC company conferences, end-of-year celebrations, management training conferences, and other events as required. Ensure events run to budget and outcomes are measured and analysed.
Qualifications
5+ years of demonstrated experience as an executive assistant.
Strong MSFT Suite skills, with knowledge in MSFT Teams, OneNote, and Concur Systems. Keen PowerPoint presentation and design skills is also advantageous.
Exceptional administration, time management, and organisational skills.
High attention to detail, with a proactive and self-motivated approach to solving problems, improving system processes, and working with an eye for procedural efficiency, to resolve issues as they arise.
Exceptional interpersonal skills with the ability to leverage relationships and achieve successful outcomes, ideally across multicultural & multi-country environments.
