About the Role
An excellent opportunity for a highly organised Executive Team Assistant to support senior leaders within FTI Consulting's Economic and Financial Consulting (EFC) practice. This role is ideal for a proactive and detail-oriented professional who thrives in a fast-paced environment, enjoys balancing multiple priorities and takes pride in delivering exceptional administrative and operational support. Working closely with senior stakeholders, you will play a key role in ensuring the smooth day-to-day running of the team while building strong relationships across the business and with external contacts.
What You'll Do
Provide proactive diary and limited email management support to Senior Managing Directors, ensuring priorities are managed effectively and schedules are coordinated seamlessly.
Coordinate complex domestic and international travel arrangements, preparing detailed itineraries and managing changes as required.
Process time entry, expense claims and invoices through internal systems, including Chrome River, ensuring accuracy and compliance with company policies.
Support client and matter management activities, including opening new matters, running conflict checks, maintaining client records, coordinating engagement documentation and liaising with Finance throughout the matter lifecycle.
Coordinate the execution and filing of Letters of Engagement (LOEs) and other client documentation.
Produce and distribute Work In Progress (WIP) reports and other management reports to support billing and matter tracking.
Maintain contact databases and support business development activities through Salesforce and other CRM systems.
Manage vendor invoices and coordinate with suppliers to ensure office services are delivered efficiently.
Monitor office supplies and equipment, including stationery, printers and IT hardware.
Collaborate with HR, Finance, Facilities, IT and other corporate support teams.
Provide broad administrative support including document preparation, filing, printing, meeting coordination and information packs.
Provide cover for Executive Assistant colleagues and support ad hoc projects.

What You’ll Need to Succeed
Basic Qualifications
Minimum 3 years of experience in an Executive Assistant, Team Assistant or office administration role.
Fluent in written and spoken Swedish and English.
Experience supporting senior stakeholders in a fast-paced environment.
Strong diary management, travel coordination and administrative support experience.
Experience processing expenses and invoices through financial systems.
Excellent organisational and prioritisation skills.
High level of proficiency in Microsoft Office applications.
Exceptional attention to detail.
Ability to handle confidential information with discretion.
Experience working across international teams and time zones.
Strong client service mindset and communication skills.
Demonstrated ability to build effective stakeholder relationships.
Proactive and solutions-focused approach.
Preferred Qualifications
Experience using Salesforce, Chrome River or similar business systems.
