Job Description SummaryThe Executive Assistant will provide high level administrative support for company leaders to ensure they can deliver on their priorities by executing calendar and meeting management, booking travel, completing expense reports, supporting efficient team operations, and ensuring confidential information stays private. There is latitude to rearrange the sequence to complete task/duties based on changing work situations and company priorities.

Job DescriptionRoles and Responsibilities
  • Provides primary support for multiple Vice Presidents in the corporate Supply Chain Team in all related administrative tasks. Produces correspondence, presentations, meeting agendas, emails, coordinates domestic and international travel, processes expense reports, new hire employee onboarding, processing purchase orders, and supports meetings and any external mailings.

  • Broad knowledge of own technical discipline to execute policy and strategy. May include supporting roles with specialized technical field of knowledge while continuously acquiring higher-level knowledge and skills.

  • Basic understanding of key business drivers and uses this understanding to accomplish own work. Good understanding of how work of own team integrates with other teams and contributes to the area.

  • May have some autonomy to make decisions within a defined framework. Resolves issues in situations that require good technical knowledge and judgment within established procedures. Consults more senior team members for issues outside of defined instructions/parameters.

  • A job at this level requires great interpersonal skills and may be required to lead a junior team.

  • Coordinates in-person events. In-person events may include team meetings, internal or external workshops and high complexity or executive level meetings with external customers or collaborators

Qualifications
  • Bachelor's degree from an accredited university or college (or a high school diploma/GED);

  • 3+ years’ experience in assisting leaders and working with diverse teams

  • You are digital savvy and can master Microsoft Office tools including Outlook, Teams, PowerPoint, and Excel. Knowledge of Smartsheet is desirable but not essential.

  • A high degree of self-management organizational skills, and an excellent communicator

  • Excellent attention to detail including spelling, grammar, and formatting to ensure quality and accuracy of all outputs

  • Experience of managing a busy workload, including complex and competing priorities whilst remaining organized and professional, working to deadlines, and sometimes delivering under pressure

  • Knowledge and/or interest in LEAN methods and standard work, always working from a LEAN mindset. Proactively driving continuous improvement whilst demonstrating a behavior of thinking ahead of the curve

  • Capable of fostering close working relationships

  • Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information

  • Onsite support, not a remote position

  • Strong organization and time-management skills. A self-starter able to work on own initiative as well as in a team environment.

  • Extremely well organized, with attention to detail, yet able to multi-task in an environment of changing priorities.

  • Demonstrated customer focus. Possesses empathy, creativity, and humor.

  • Self-directed, anticipates needs, and willing to proactively propose solutions to problems.

  • Strong time management and ability to meet deadlines.

  • Excellent verbal and written communication skills.

  • Problem solving and decision making

  • Ability to coordinate data gathering and analysis from different teams to support strategy development would be helpful
