As the Executive Administrative Assistant for the Vice President and General Manager of Emergency Care and their Leadership Team, you will provide proactive and detail oriented administrative support, while managing travel and expenses, assisting with scheduling and calendar coordination, and handling confidential information with discretion. This role requires the ability to communicate effectively across all levels of the organization.
What You Will Do:
- Provide proactive, high-quality administrative support to the Vice President and General Manager of Emergency Care and their Leadership Team, including complex calendar management, travel arrangements, expense reporting, and day-to-day administrative needs.
- Develop a strong understanding of business priorities, team operations, functional terminology, procedures, and key stakeholders to anticipate needs, identify priorities, and proactively support leadership.
- Coordinate leadership meetings, team meetings, town halls, and other business forums, including scheduling, logistics, agendas, materials, and follow-up activities.
- Maintain team events, distribution lists, shared resources, records, and other administrative documentation to support organized and effective business operations.
- Gather, compile, verify, and organize information for reports, presentations, communications, memos, and other leadership materials, ensuring accuracy and alignment with company standards.
- Draft, proofread, edit, and format communications and presentation materials, partnering with internal resources as needed to deliver professional and polished content.
- Build effective relationships and communicate professionally with employees, senior leaders, internal partners, and external contacts while coordinating requests, facilitating information flow, and handling confidential and sensitive information with discretion and sound judgment.
- Support special projects, process improvements, and evolving business needs, taking ownership of assigned activities and ensuring timely follow-through.
