We are looking for a proactive and detail-oriented Executive – Help Desk with 4–5 years of experience in administration and travel helpdesk operations. The ideal candidate will be responsible for coordinating business travel, managing helpdesk requests, vendor coordination, invoice processing, and supporting administration activities while ensuring timely and efficient service delivery.
- Manage helpdesk activities related to employee travel requests and ensure timely processing of approved travel plans.
- Coordinate with external travel agencies for domestic and international flight bookings, hotel reservations, visa processing, and Forex card arrangements.
- Respond to and resolve travel-related helpdesk tickets within defined Service Level Agreements (SLAs).
- Liaise with multiple vendors and internal stakeholders to obtain the best travel options and ensure seamless service delivery.
- Track vendor invoices and facilitate timely invoice verification and payment processing in accordance with company policies.
- Prepare and maintain MIS reports, presentations (PPTs), and other documentation as required.
- Support Administration & Facilities team during client/customer visits, meetings, and corporate events.
- Assist in external audits by providing required documentation and administrative support.
- Ensure compliance with organizational policies and maintain accurate records of travel and vendor transactions.
- Collaborate effectively with internal and external stakeholders to ensure smooth operational support.
- 4–5 years of experience in Help Desk, Administration, Travel Desk, or Facilities Management.
- Strong knowledge of domestic and international travel booking processes.
- Hands-on experience in visa processing and Forex card management.
- Good understanding of vendor management and invoice processing.
- Proficiency in Microsoft Office applications, especially Excel, PowerPoint, and Word.
- Experience in preparing MIS reports and maintaining documentation.
- Strong communication, coordination, and organizational skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Fluent in English, Kannada, and Hindi (reading, writing, and speaking).
