Purpose of Role
The IT Evergreen Specialist is responsible for overseeing the lifecycle of all IT assets
within McCain's global IT organization. This includes coordination for procurement,
deployment, monitoring, maintenance, and disposal of hardware and software assets.
The role involves maintaining an accurate inventory of all IT assets, optimizing costs and
ensuring compliance with licensing agreements.
This position is expected to coordinate with various McCain Teams including
Global/regional I&O, IT Finance, IT Procurement, and related vendor partners.
Roles and Responsibilities & Key Deliverables
Asset Lifecycle Management:
• Coordinate and manage the procurement of IT assets, ensuring cost-
effectiveness and adherence to McCain policies.
• Develop a systematic method for uniquely identifying and labeling each IT asset
• Oversee the deployment of hardware and software assets to end-users.
• Monitor and track the usage, performance, and maintenance of IT assets
throughout their lifecycle.
• Establish guidelines for retiring and disposing of outdated or non-functional
assets in an environmentally friendly manner.
• Collaborate with other IT teams, such as procurement, help desk, and security,
to ensure seamless communication and coordination regarding IT assets.
• Align inventory management practices with broader IT and McCain goals.
Inventory Management:
• Maintain an accurate inventory of all IT assets - hardware, software, licenses.
• Implement and manage an efficient system for tracking asset locations,
configurations, and changes.
• Regularly update the inventory database to reflect changes in asset status, such
as deployments, moves, additions, or disposals
• Maintain comprehensive documentation for each IT asset, including purchase
invoices, warranty information, and maintenance records which are easily
accessible for audits or reference.
• Ensure CMDB is updated in the IT Asset / ITSM Tool such as ServiceNow.
• Conduct periodic audits of the IT asset inventory to verify the accuracy of
records. Address any discrepancies or missing information promptly to
maintain data integrity.
License Management:
• Ensure compliance with software licensing agreements and manage license
renewals.
• Conduct regular audits to verify software license usage and address any
discrepancies.
Cost Optimization: • Analyze and optimize IT asset costs, identifying opportunities for cost savings without compromising functionality or performance. • Negotiate with vendors to secure favorable terms and pricing for IT assets. Reporting & Analysis: • Generate regular reports on the status of IT assets, including usage patterns, compliance with licensing agreements, and potential cost-saving opportunities. • Analyze inventory data to identify trends and areas for improvement in asset management practices. Qualifications: • Bachelor's degree in science or commerce. • Proven experience in IT asset management or a related role. • Strong knowledge of hardware and software procurement, deployment, and maintenance processes. • Excellent analytical, problem-solving and communication skills. • Experience with IT asset management tools and software. • Familiarity with software licensing agreements and compliance. • Certification in IT Asset Management or ITIL process is preferred.
