Brandeis University is seeking an Events Manager to provide operational and administrative support for a wide range of University events and programs. This is a highly detail-oriented, behind-the-scenes role focused on making sure the many logistical pieces of an event come together smoothly.

The Events Manager will support institutional events and signature annual programming, as well as events organized by departments across the University. The role involves coordinating event logistics, managing details and information, supporting space and technology needs, working with campus partners, and helping ensure that established processes and requirements are followed.

A significant part of the role involves working directly with students and supporting student-focused events and programs. The ideal candidate is patient, approachable and comfortable working with students who may need guidance and support throughout the event planning and execution process. This person should enjoy the operational side of events, be exceptionally organized and detail-oriented, and be able to manage a high volume of requests and competing priorities in a fast-paced environment.

Key Responsibilities

  • Coordinate Brandeis-affiliated events and signature annual programming as assigned, providing operational and administrative support throughout the planning and execution process. (40%)
  • Plan, organize and manage event logistics and administrative activities, including budgets, facilities, technology, equipment, accommodations, catering and other event-related requirements. (30%)
  • Review budgets and contractual provisions and help determine requirements related to space, location, technology, equipment, accommodations, catering and on-site management. (20%)
  • Assess and improve event planning processes, identifying opportunities to make event coordination more efficient, consistent and effective. (5%)
  • Perform other related duties as assigned. (5%)

Qualifications

  • Bachelor's degree required.
  • Minimum of 2–3 years of related experience in event coordination, program support, administrative operations or a similar field; experience in a higher education or academic setting preferred.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple requests, tasks and deadlines simultaneously.
  • Strong interpersonal and diplomatic skills and the ability to establish effective, collaborative working relationships with students, faculty, staff and other campus partners.
  • Patience, flexibility and a service-oriented approach, particularly when working with students and individuals with varying levels of event planning experience.
  • Ability to provide guidance on event processes and best practices while working within established policies and procedures.
  • Strong problem-solving skills and the ability to remain calm and resourceful when plans change or unexpected issues arise.
  • Comfortable working in a fast-paced, highly operational environment with a significant amount of administrative and behind-the-scenes coordination.
  • Highly proficient in Microsoft Word and Excel and comfortable working with shared documents and Google Workspace applications.
  • Familiarity with the 25Live event and space reservation system preferred.

The pay offered to a selected candidate during hiring will be based on factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience and education/training, internal peer equity, and applicable legal requirements.
