About the Role 

The Manager will be creating and configuring new Elsa (and EMSS) authoring sites, including configuring tables of contents, contributors, and workflows for the title's development process and importing previous edition content, verifying the correctness of that import, and remediating import errors, addressing missing or incorrectly formatted prior edition content, or addressing problems in previous edition content layout in the system. Manager is also responsible for accurate and timely ad hoc uploading of chapter content to Elsa when an author is unwilling or unable to do so. The Elsa SCM is knowledgeable of the best practices of content layout and remediation, is focused on quality and correct configuration and adhering to special requests in site configuration, can meet productivity and turnaround time expectations, manages and tracks own completion progress for multiple sites at any given time, and is an excellent communicator with internal Elsevier staff and external authors. This person is keenly aware of the critical contribution of their work to author satisfaction and timely and accurate content development across a variety of publishing disciplines.

Responsibilities

• Upon request from Content Strategist/Acquisitions Editor or EPM/CDS and as assigned by Team Lead, create a new authoring/submission site for a newly signed title, on Elsa (or EMSS) as indicated, within agreed turnaround time targets.

• Ensure request includes all relevant information, document any missing material, and follow up for completion or clarification directly with CS/AE/EPM/CDS as needed.  Note some information may be available earlier than others (full contributor list may follow later), so ensure this is noted and prepare to add this information as it becomes available.

• Configure site  with correct workflow, table of contents, and contributor information, etc., prior to request for CS/AE/EPM/CDS to open site to authors/editors/contributors.

• For EMSS sites, if title is a higher edition, request Archive files for previous edition, track delivery from Archive team against agreed TATs, and follow up as needed.  Upload previous edition files to EMSS, reflecting any changes in TOC order, for authors to begin updating and creating new content.  Note the more detailed approach for Elsa below.

• For Elsa and EMSS sites, assign internal parties to project in Elsa (or via other means for EMSS), such as Permissions Manager, Copyright Coordinator, and Payee Information Manager in Publishing Services.

•Proactively manage and track requests and site creation for multiple titles at various stages of completion at any given time.

• For Elsa sites, if title is a higher edition, request Archive files for previous edition, track delivery from Archive team against agreed TATs, and follow up as needed. 

• Confirm accuracy and completeness of Archive files by comparing against TOC for previous edition.  Spot-check layout of Archive files for accuracy and completeness.  If problems are identified, revert to Archives with copy to Supplier Management to request delivery of new Archive files from supplier, and track delivery and follow up as needed. 

• Upload checked previous edition files to Elsa, reflecting any changes in TOC order.  Check quality of files in Elsa upon upload.  If any quality or completeness errors are noted, (1) first attempt to resolve them by adjusting content as appropriate inside Elsa, or in Archive file, and then reload to Elsa; aim to correct layout errors using knowledge of content layout best practices in first instance whenever possible.  If measure (1) fails, (2) follow up with Elsa  Support to resolve, and monitor progress to resolution, following up as needed.  Be clear in explaining errors in layout to Elsa Author Support.

• When errors in Archive file or quality of upload to Elsa are identified, inform CDS/EPM and CS/AE of delay and any information on mitigation.  Keep stakeholders informed of progress.

• Log all errors seen with Archive files and/or upload to centralized trackers for monitoring of broader trends by Team Leader.

• Upon request from CDS/EPM, upload chapter content (text, figures, tables, boxes, references, etc.) to Elsa on behalf of authors and contributors unwilling or unable to do so themselves.

• Check quality and completeness of upload in Elsa, and inform CDS/EPM if any material is missing or corrupt for mitigation with author.

• If content layout is problematic or material is lost during upload, but author-provided content is complete and of good quality,  (1) first attempt to resolve errors by re-uploading material, and adjusting content as appropriate inside Elsa; aim to correct layout errors using knowledge of content layout best practices in first instance whenever possible.  If measure (1) fails, (2) follow up with Elsa Support to resolve, and monitor progress to resolution,

• When errors in proxy upload require intervention from Elsa Support, inform CDS/EPM of delay and any information on mitigation. Keep them informed of progress.

• In rare instances, an EPM or CDS may ask you to work directly with authors, editors, or contributors to resolve problems with proxy upload of chapter content, with EPM and CDS involvement.  Author-facing communication requires professionalism and a desire to achieve the best outcome for all involved.

• Focus on communication within Elsa/EMSS site configuration team overall, including having the psychological safety to share ideas, experiences, and opinions openly and with professionalism and courtesy to other team members.  Actively participate in team meetings and one-on-one meetings with Team Leader.

• Participate in meetings to share experiences and ideas for improvement with Content Team representatives, Content Management team representatives, Content Development team representatives, and Elsa  team members.  Focus on improvements that deliver better outcomes for authors using Elsa and internal team members

• Keep up to date on developments in Elsa, particularly those that could impact site configuration, importing previous edition files, workflows, roles, and proxy uploading.  Read all Elsa newsletters and all new features announcements, as well as changes in documentation related to work.  Point out changes that may impact work done by the Elsa/EMSS site configuration team to ensure Team Lead incorporates related updates in training and process documentation as needed.

•  Employ a "lessons learned" methodology to continually share best practices and improve Elsa site configuration, working with other team members.        

Requirements

• Bachelors degree or equivalent experience

• Typically possesses 1-2 years of relevant experience in a typesetting, copy editing, layout design, or publishing company

• 5 years’ experience of delivering change management initiatives.

• Outstanding written and verbal communication skills.

• Experience of working within a team structure and delivering according to agreed plan

• Strong knowledge of MS Office suite.
