ECS Email Coordinator Job Description

Role Overview

The Email Coordinator is responsible for reviewing incoming emails from clients and internal team members, determining the appropriate department or individual for each request, accurately entering information into multiple business systems and ensuring timely routing and follow up.   

Job Responsibilities:

  • Monitor and manage a shared email inbox throughout the workday.
  • Read and interpret incoming emails from clients and internal team members.
  • Determine the appropriate department, workflow or team member for each request.
  • Navigate multiple software applications to locate clients or project information.
  • Accurately enter and update data in company systems.
  • Route emails and requests to the appropriate individuals while following established procedures.
  • Identify missing information and escalate issues when necessary.
  • Maintain confidentiality of client and company information.

Basic Qualifications

  • Atleast 5 years of experience in handling issue escalation and system navigation
  • Strong verbal and written English communication skills.
  • Excellent attention to detail and accuracy.
  • Ability to follow documented processes and standard operating procedures.
  • Comfortable working across multiple systems and applications.
  • Strong organizational and time-management skills.
  • Ability to prioritize work in a transactional, process-driven environment.

Preferred Skills and Experience

  • Previous experience in client support, operations, or payment processing.
  • Proficiency of Microsoft Office products
  • Familiarity with structured operational processes.
  • Knowledge of credit card processing or merchant services.
  • Ability to adapt quickly when processes, tools, or business priorities change.
