Job Summary: The DOT Compliance Specialist is responsible for ensuring company-wide compliance with Department of Transportation (DOT) regulations. This role involves monitoring driver qualification files, maintaining regulatory records, and collaborating cross-functionally to manage compliance-related processes. A successful candidate will be highly organized, adaptable, and capable of navigating sensitive compliance conversations.
Key Responsibilities:
- Regulatory Reporting & Filings
- Manage recurring regulatory filings, including quarterly IFTA reports, annual IFTA certification, MCS‑150 biennial updates, UCR fee payments, and New York Highway Use Tax (and decal issuance).
- Complete monthly Oregon Weight‑Mile Tax and Oregon Road Use Assessment Fee reports.
- File Federal Highway Use Tax (2290) and maintain compliance with New Mexico Weight‑Distance Permit and Ontario CVOR renewals
- Fleet Licensing, Tags & Documentation
- Oversee Washington and Tennessee IRP add/delete actions and annual renewals.
- Process tag and title work for all new commercial motor vehicles, including IRP‑related submissions.
- Add or remove IFTA/IRP tags as needed and reconcile Fuelman purchases for accurate reporting.
- Ensure annual updates to MCS‑90 documentation and coordinate BOC‑3 agent filings.
- Distribute updated insurance cards and certificates of insurance to branches each year.
- Compliance Review & Issue Resolution
- Provide timely feedback to branches and drivers regarding roadside inspections and citations.
- Submit DataQ challenges for violations or inspection inaccuracies when appropriate.
- Systems & Mileage Management
- Oversee Samsara IFTA functions, including quarterly mileage reporting for IFTA‑tagged units.
- Cross‑Functional Support & Special Projects
- Collaborate with Accounting, Fleet, Maintenance, Branch Admins, and Branch Leadership on compliance‑related needs.
- Support acquisitions as needed, including IFTA decals, driver qualification setup, and regulatory onboarding.
Qualifications:
- Strong verbal and written communication skills.
- Proficient in Microsoft Excel.
- Highly organized and detail-oriented.
- Comfortable navigating regulatory complexities and difficult conversations.
- Able to adapt to changing priorities and collaborate across teams.
- Prior experience in DOT compliance, transportation, or logistics preferred.
- Familiarity with FMCSA regulations, Samsara, Supervision, and DISA reporting tools is a plus.
- Must possess valid driver’s license.
- Must pass drug test, fit for duty evaluation and background check.
