Job Description – Document Controller
The Document Controller is responsible for managing, controlling, and maintaining project documentation throughout its lifecycle while ensuring compliance with company and customer requirements. The role involves coordinating document workflows, maintaining accurate records, and ensuring timely distribution of engineering documents.
Key Responsibilities:
Establish and maintain document control procedures, systems, and workflows in accordance with company standards.
Manage the Document Control System by preparing and maintaining project drawing/document schedules and coordinating customer and supplier documentation requirements.
Design, develop, and maintain standardized document templates to ensure consistency and compliance across all project documentation.
Submit engineering documents to customers through TeamBinder (cloud-based document management system) and customer-designated portals within the required turnaround time.
Maintain and regularly update the Document Deliverable List (DDL) to monitor document submissions and project deliverables.
Control document versions, revisions, approvals, and distribution using TeamBinder to ensure effective document lifecycle management.
Maintain and organize project documentation in SharePoint and shared network folders, ensuring secure storage and easy retrieval.
Ensure that the latest approved revisions of documents are readily available and accessible to all relevant stakeholders.
Coordinate the timely distribution of project documents to internal teams, customers, vendors, and other stakeholders.
Perform quality checks on all documentation to verify accuracy, completeness, formatting, and compliance with project and organizational standards.
Liaise with engineering, project management, customers, and other departments to facilitate efficient document workflows and resolve document-related issues.
Generate, monitor, and circulate document control reports, including document status reports, outstanding document reports, and customer submission reports, to support effective project tracking and completion.
What you bring
Minimum of 5 years of experience as a Document Controller in engineering, EPC, or project-based environments.
Proficiency in working with various document management portals and document control systems.
Hands-on experience with TeamBinder, Aconex, and WRENCH is mandatory.
Strong proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
Experience in creating and maintaining Power BI dashboards is preferred.
Excellent interpersonal and communication skills, with the ability to collaborate effectively with cross-functional teams and stakeholders from diverse backgrounds.
Strong organizational, analytical, and time management skills with the ability to manage multiple priorities and meet project deadlines.
High attention to detail, ensuring document accuracy, compliance, and version control throughout the document lifecycle.
