GHD’s Infrastructure Delivery Group in Queensland has been providing contract administration, construction management and independent assurance services to a wide range of government and private clients for over 30 years. During this time, we have been involved in a number of iconic transport infrastructure projects on most of the major highways and motorways in the region. Our recent portfolio of successfully delivered projects includes the Kangaroo Point Green Bridge, Bruce Hwy Cooroy to Curra, and the M1 Burleigh to Palm Beach.
We have a great opportunity for an experienced Document Controller / Project Site Administrator to join our Infrastructure Delivery Group for the Beerburrum to Nambour (B2N) Rail Duplication project at our Beerburrum site office. This is a permanent part time position at 32 hours per week.
In this role you will be responsible for:
- Provide administrative support to contract administration and construction verification teams
- Manage project documentation and correspondence using GHD and client systems (such as InEight TeamBinder)
- Assist with document control, reporting, and preparation of professional documents
- Organise and coordinate project meetings, including agendas and minutes
- Support routine office functions, onboarding, and procurement of supplies
- Maintain registers, trackers, and distribution lists for project documentation
- Monitor project in-boxes and ensure timely follow-up of outstanding items
- Support the preparation of dashboards, reports, and audit schedules
What would you bring to the team?
- Minimum 3 years’ experience
- Experience providing project administration support, preferably within site-based Engineering, construction environments.
- Highly proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook), with the ability to format and prepare professional documents and reports.
- Strong verbal and written communication skills, with the ability to liaise effectively with team members, clients, and stakeholders.
- Excellent organisational skills, with the capacity to manage fluctuating workloads, prioritise tasks, and meet project deadlines.
- Exceptional attention to detail, maintaining high personal and professional standards in all work produced.
- Willingness to tackle new opportunities and challenges proactively and with enthusiasm.
- Strong analytical skills and a problem-solving mindset.
- Ability to anticipate, balance, and respond to the needs of multiple stakeholders.
- Flexible and adaptable, able to adjust approach and priorities to suit changing project demands.
- Comfortable adopting and utilising digital tools and technology innovations to improve efficiency and outcomes.
- Familiarity with InEight TeamBinder, the client's document management and collaboration software, is desirable.
