Purpose
Responsible for the OpenText application’s support to store plant documentation and Engineering Project Documentation particularly in Electronic Document Management System (EDMS)
Nature and Scope
Reporting directly to the Manager CMD Asia and Global Documentation. Your key responsibility is to ensure timely support provided to OpenText EDMS stakeholders globally including Engineering team, Operations team, OpenText EDMS power users and etc.
PRINCIPAL ACCOUNTABILITIES
Administer and Maintain documents in the OpenText repository. Perform repeatable tasks like Document Uploading, Document Revision control, Document Publishing in OpenText.
Execute Document Handover process supporting the Regional Operations teams. Support all activities for document handover process from projects to Operations.
Perform transactional activities like export of documents, analyze attributes/metadata clean-up, extract reports in excel (pivot/graphs etc.)
Assign/Grant permissions to users in OpenText, manage security levels, and act as a Super User for the OpenText application for the assigned region.
Ensure full alignment of the overall document management process with the Global procedures and job-aids.
Identify opportunities for process improvements in the Document Management System and work with Global Administrator(s) and Regional Power Users to implement the same.
Comply to the Service Level Agreement (SLA) established within the team & KPI set during beginning of every fiscal year
Any ad-hoc duties that assigned by her/his superior as deemed necessary.
JOB REQUIREMENTS
Bachelor’s degree in Business Management and/or relevant degree.
1-2 years relevant experience, preferably within a shared services organization.
Fluent in both spoken and written Mandarin.
Ability to work flexible hours when required. Replacement leave will be provided for Malaysia public holidays. Team backup support may be arranged during important festive holiday.
Attentive to detail, prioritization and having self-initiative and be able to work independently as well as a part of a team
Possess good communication skill and time management skill
Knowledge of document control management preferred
Good working knowledge of Microsoft Office 365 Applications; Experience of enterprise applications such as SAP and/or OpenText documentation systems is an additional advantage
