The Document Controls Specialist compiles and maintains control records and related files to release blueprints, drawings, and engineering documents to manufacturing and other operating departments by performing the following duties.

Responsibilities include the following:

  • Track documents for project managers, clients, and vendors
  • Track, maintain and file all Document Control transactions
  • Process project specific documents (drawings, data sheets, etc.) for revision and approval
  • Examines documents such as blueprints, drawings, change orders, and specifications to verify completeness and accuracy of data
  • Confers with document originators or engineering liaison personnel to resolve discrepancies and compiles required changes to documents
  • Posts changes to computerized or manual control records, releases documents, and notifies affected departments
  • Compile and maintain control records and related files to release blueprints, drawings, and engineering documents to the client, and to the manufacturing, construction and other departments
  • Prepare requests for reproduction of documents when needed
  • Monitor the distribution and reconciliation of process or reference documents
  • Create received document report and distribute applicable documents to engineering
  • Create various document status reports as requested
  • Compile, print and copy Operation and Maintenance Manuals as needed for various projects
  • Organize, print and compile bid documents
  • Provide travel administrative support and coordination
  • Reviews, reconciles and processes staff credit card statements
  • Monitors visitor access and issues passes when required 
  • Researches, orders, receives, and maintains office supplies including business card, nameplates and equipment
  • Assists with department and company events (all logistics)
  • Catering, order meals as and when requested  
  • Assist with special projects and workflow process improvements
  • Directs and prioritizes standards for the screening of incoming mail, using expert judgment and knowledge. Performs simple distribution and mailing of documents, answering telephones, sorting and routing mail, making photocopies, picking up mail, etc.
  • Drafts written responses or reply by phone or email when necessary.
  • Respond to regularly occurring requests for information.
  • Attends management meetings, creates the agenda by coordinating with the management team, summarizes the meeting in the form of meeting notes, and distributes timely
  • Works independently and within a team on nonrecurring and ongoing projects. Coordinates with the building management for service-related issues and work orders

Education/Experience:
High school diploma or equivalent GED or one year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Computer Skills:

To perform this job successfully, an individual should have knowledge of the following:

  • Microsoft Office: Word, Excel, PowerPoint, Outlook: Beginner to Intermediate 
  • Windows

Hourly Rate from $20.00 USD

Skills Required

  • High school diploma or equivalent (GED) or one year certificate from college/technical school; or 3-6 months related experience and/or training or equivalent combination
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) at Beginner to Intermediate level
  • Familiarity with Windows operating environment
  • Experience with document control processes: tracking, filing, revision control, and releasing engineering drawings/documents
  • Strong communication and coordination skills for interacting with project managers, clients, vendors, and engineering staff
  • Ability to perform administrative tasks: travel coordination, credit card reconciliation, visitor access management, ordering supplies, and event logistics
