  • Ensures quality assurance of the closed and purchased loan files and document management system in accordance with the terms and conditions of the Mortgage Policy/Procedure and Compliance Manuals.

Key Responsibilities

  • Conducts comprehensive quality assurance review of executed closing packages and purchased loan packages, reviewing for compliance and completeness.
  • Maintains document management files to support efficient organization, ensuring documents are properly scanned, indexed, stacked, and retained.  
  • Follows up and clears post-closing deficiencies in a timely manner.
  • Coordinates with a third party quality control provider in accordance with State Financial Network’s Quality Control Policy for review of random and targeted selections.  Reviews, responds and takes corrective action when appropriate.
  • Manages post-closing and quality control audits, including tracking findings, corrective actions, and monthly reporting.
  • Prepares and reviews credit packages for inclusion in loan participations, ensuring required documentation is complete and appropriately organized..
  • Scans, indexes, and maintains fully executed closing packages, recorded documents and loan policies within the document management system and network drive.
  • Monitors, tracks, and organizes recorded mortgages, loan policies and assignments to ensure mortgage liens are properly perfected and required documentation is received and retained.
  • Monitors paid-in-full loans through the satisfaction process; track and log recorded satisfactions, cancel original promissory notes as appropriate and provide borrowers with required documentation.
  • Transfers paid-in-full loan files from the active directory and prepare files for retention and future purge in accordance with applicable record-retention requirements.
  • Is responsible for adhering to operational controls, including compliance with all required regulations and policies such as the Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC) to ensure the safety and soundness of the State Financial Network.
 
Qualifications

Education/Experience

  • Associate’s degree plus 2+ years of related financial services experience to include 1 year of closing experience or, equivalent experience. Bachelor’s degree is preferred.
