About the role.
We are seeking a detail-oriented and proactive Distribution Administrator to join our New Zealand team. Based in Timaru (preferred) or Hastings, you will work closely with the Australia and New Zealand (ANZ) Supply Chain team - supporting seamless distribution operations and enabling financial and compliance accuracy across freight and cold storage activities.
You'll play a central role in coordinating truck and container movements, preparing export documentation, processing invoices, supporting end-of-month reconciliations, and driving continuous improvement in our fast-paced environment. This role requires a collaborative mindset, strong stakeholder engagement, and the ability to prioritise competing demands.
What you'll be doing.
- Monitor and record truck and container movements, manage transport scheduling in real time, and coordinate with cold store staff.
- Rapidly respond to delays and provide status updates to stakeholders across ANZ.
- Liaise with 3PL warehouses, transport providers, and vendors, ensuring smooth operations and effective communications.
- Process invoices, resolve queries, and reconcile transactions in SAP and invoice processing system, maintaining accurate records and prompt payment flows.
- Prepare export documentation (including MPI certifications) as directed.
- Support domestic and inter-company order entry in SAP, including transport bookings.
- Assist with end-of-month processes, audits, and compliance with Chain of Responsibility (CoR) requirements.
- Report delivery metrics, support meetings with transport partners, and drive continuous improvement.
- Maintain accurate inventory records through regular cycle counts and stocktakes.
What you'll need to be successful.
- Experience in supply chain, logistics, or warehousing highly regarded but not essential.
- Experience in SAP, Oracle, WMS, MS Excel; Power BI preferred but not essential.
- Strong knowledge of transport compliance, CoR, and relevant NZ legislative requirements.
- Exceptional time management, organisational skills, and attention to detail.
- Demonstrated ability to prioritise, problem-solve, and work collaboratively across geographically diverse and cross-functional teams.
- Adaptability and a proactive, solutions-focused mindset.
