Summary:
The Director of Project/ Process, a newly created position, will be a key role for execution of process innovation and continuous improvement across multiple Operational Services workstreams, including offshore. These workstreams include composition, XBRL tagging and regulatory services and also creates the instructions to complete these activities. This role reports directly to the Senior Vice President of Operational Services and includes travel in the US and to our offshore vendors.
Operational Services is charged with optimizing workstream output across a global platform to deliver quality and time-sensitive output while optimizing costs. This role is central to achieving these goals through collaboration with other Operational Services leaders and their production teams (including offshore), other cross-functional leaders and business stakeholders. The successful candidate will have:

  • experience designing and leading projects that tackle pressing problems and solving for new services across global teams
  • experience leading and maintaining process improvement programs that deliver innovation and measurable business value
  • experience creating and delivering metric-driven presentations and reports tailored to a variety of audiences including operational teams, management and executive leadership
  • experience collecting, organizing and presenting complex data for tracking performance and defining measurable action plans for improvement


Responsibilities:
Operational Services

  • Identify, design, lead and deliver change activities, process innovation initiatives and new process implementation across workstreams with the focus to optimize results for quality, delivery and cost.
  • This will be manifest through projects and process creation or improvement.
  • Manage multiple complex projects simultaneously across Operational Services workstreams
  • Define requirements through interviews, workshops, document reviews, business plan reviews, workflow analysis, data analysis and site visits (including India).
  • Quantify financial & non-financial impacts to inform prioritization decisions
  • Ensure business impact and project or process objectives are identified, documented and managed for achievement. Proactively identify, report and navigate roadblocks.
  • Design and deliver project and process materials including reports, SOPs and workflow maps, presentations and system enhancements related to the change activities, process innovation initiatives and new process implementation
  • Lead training design and delivery, as well as employee process certification programs, related to change activities, process innovation initiatives and new process implementation.
  • Compose and deliver presentations with limited guidance from leadership
    • Write overall storyline to deliver key messages in a clear and concise matter
    • Compile content that simplifies complex information into core messages
    • Deliver presentations tailored to a variety of audiences, including senior leadership


Responsibilities (cont.):

  • Identify, lead and facilitate process improvement workshops for process status reviews, solution innovation, continuous improvement and team development
  • Schedule and conduct regular meetings with Operational Services teams (DFIN and vendors) and management for review of operational metrics and translation of metrics to business information and trends. Identify and assist in, or resolve, issues and opportunities.
  • Identify the need and create reports for on-going operational activities using PowerBI, Excel and other data presentation tools. These reports will be used across Operational Services workstreams.
  • 15% Travel, in addition to annual International/offshore travel is required


Employee/Team Development

  • Foster a culture of continuous improvement and operational excellence for stakeholders and other operational team members. This includes providing expertise and modeling the use of process improvement methodologies (ex: Six Sigma, Lean, Value Stream Mapping) and technical skills such as data analytics, process mapping, process optimization and creating presentations
  • Develop subject matter experts as a team of direct reports
  • Drive operational rigor across Operational Services by utilizing consistent project execution, process review and improvement approaches
  • Coordinate Quarterly Business Reviews across Operational Services teams using a consistent presentation model
  • Execute projects using the operational pillars of simplification, standardization, leveraging software & technology, creating actionable metrics, and focusing on value; all while keeping our data and people safe
  • Develop trusted relationships with key stakeholders, enabling issues and opportunities to be addressed with a spirit of partnership


Qualifications:

  • Bachelor's Degree
  • 6 + years in a similar role demonstrating proven proficiency implementing continuous improvement with analytical experience, including project management and business analysis
  • Proven experience leading and collaborating with offshore teams or vendors
  • Proven employee development, leadership, teamwork and cross-team collaboration skills.
  • Proficient in MS Office (Excel, PowerPoint, Word, Outlook), PowerBI, and process mapping tools such as Visio
  • Lean, Six Sigma, PMP Certified, or comparable certification is a plus
  • Ability to provide thought-leadership in operational excellence
  • Ability to influence through persuasion, negation and consensus building
  • Highly proficient in process mapping and process optimization with the ability to coach team members on such skills
  • Highly proficient in data compilation, data analysis, and Excel modeling
  • Strong project management skills and ability to collaborate with multiple cross-functional teams, vendors, and stakeholder groups to deliver projects and process change; lead execution with strong executive presence
  • Ability to synthesize and simplify complex concepts/requirements to the team and stakeholders and tie back to business objectives
  • Comfort working with potentially ambiguous problems and working on projects that are consistently new and challenging
  • Ability to travel both domestic and International.
