Location: This is a hybrid role and requires the candidate to be on-site at our New York office at a minimum of every Tuesday and Wednesday with other in-person work across New York City as needed.

About the Team  

The Office of the CEO (OCEO) is a small, high leverage enterprise team that operates at the center of College Board, working directly with the CEO, President, and senior leaders to strengthen and accelerate mission impact. The Office brings together executive leadership support and enterprise execution to ensure the organization moves in a coherent, disciplined, and aligned way.

About the Opportunity   

As Director, OCEO Operations, you are responsible for the systems, processes, and digital infrastructure that enable the CEO and Chief of Staff to operate effectively. Your role exists to ensure seamless day-to-day operations, disciplined execution of administrative tasks, and strong coordination across stakeholders -- all supported by a technology-forward operating model that keeps the Office of the CEO organized, informed, and prepared. 

This is a high-trust role that demands exceptional judgment, discretion, and deep fluency in modern executive tools and platforms. You take full ownership of the routines and infrastructure you build, designing durable processes that scale and hold up under pressure. You set the operational standard for the OCEO -- not just maintaining systems but continuously improving them. 

You work in close partnership with all roles in the Office of the CEO and provide day-to-day direction to the Special Assistant to the CEO. You report to the Executive Director, CEO Initiatives, with a dotted line to the Chief of Staff. 

In this role, you will: 

OCEO Operations (70%) 

Calendar, Scheduling, and Daily Preparation 

  • Manage the Chief of Staff’s calendar end to end, ensuring accuracy, sequencing, preparation time, and realistic transitions between commitments; effectively partner with the CEO’s Special Assistant for CEO scheduling coordination.  

  • Exercise senior judgment in shaping daily and weekly flow so the Chief of Staff’s time reflects priorities; maintain deep fluency of their preferences, working style, and constraints, and apply that knowledge consistently in scheduling decisions. 

  • Prepare and distribute daily briefing tables for the CEO and Chief of Staff, ensuring both have the materials, context, and preparation needed for all commitments the following day.

Executive Correspondence and Contacts  

  • Manage and triage the CEO’s and Chief of Staff's inbox— establish and implement consistent guidelines to prioritize what requires direct attention, handling or routing what does not, drafting routine responses, and flagging time-sensitive items so nothing critical is missed.   

  • Build and maintain processes and systems for managing key contacts, engagement history, and relationship touchpoints on behalf of OCEO, activating key collaborators to use and maintain records in their roles.  

Travel and Expenses  

  • Oversee all Chief of Staff travel, including planning, logistics, itineraries, expenses, and real-time adjustments. 

  • Anticipate risks or points of friction and put plans in place to address them before they arise. 

Office Processes and Systems  

  • Administer the OCEO budget, including managing requisitioning, contributions and payments, and other procurement and purchasing activities as needed. 

  • Design, maintain, and continuously improve tech-enabled systems that ensure the CEO has timely access to materials, information, contacts, and context across all engagements. 

  • Proactively identify opportunities to streamline, automate, or improve processes within OCEO through better use of existing tools or introduction of new capabilities, in partnership with IT, Workplace Experience, and Digital Workplace. 

  • Identify breakdowns in routines or systems and refine processes to improve consistency and efficiency. 

Administrative Leadership  

  • Maintain strict standards of confidentiality, professionalism, and attention to detail. 

  • Provide direction and support for CEO travel managed by Special Assistant as needed.  

  • Partner with the CEO’s Special Assistant to ensure continuity, resilience, and consistency in all OCEO support activities, regardless of travel, volume, or changing demands 

Special Projects, Events, and Follow-Through (30%) 

  • Support OCEO events and engagements by owning project plans, logistics, set up and execution of internal enterprise-level CEO events (e.g., strategy sessions, Executive Leadership Team retreats, VP convenings, new hire welcomes), partnering with staff across teams to ensure seamless coordination 

  • Manage the OCEO calendar, publishing org-wide events for staff. 

  • Partner with Workplace Experience on in-office events, activities, and staff engagement opportunities.  

  • Push in to support a wide range of special projects that need operational support.  

About You  

 To qualify for this role, you must have:  

  • High school diploma or equivalent required; BA preferred. 

  • Minimum 5 years of administrative experience supporting senior executives. 

  • Expertise in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel). 

  • Experience managing complex calendar schedules and high-level travel logistics. 

  • Familiarity with Concur or similar expense platforms. 

  • Excellent verbal and written communication skills. 

  • Highly proactive and responsive, with strong judgment and problem-solving skills. 

  • Exceptional organization, multitasking, and attention to detail. 

  • Positive, personable, and collaborative demeanor. 

  • Ability to manage sensitive information with discretion. 

  • Available to work in person on Tuesdays and Wednesdays in our New York office, and easily other days as well as needed 

  • The ability to travel regularly to the CEO’s home and College Board’s office as well as an additional 3-4 times a times a year on behalf of College Board business

About Our Process
