JOB SUMMARY
The Development Operations Specialist ensures the accuracy and integrity of all fundraising platforms, including the fundraising CRM. This role is responsible for overseeing data entry, analysis, reporting, and implementation of donor recognition and gift assignment processes. This role works cross functionally with the Fund Development team to support reaching fundraising goals, including annual campaigns and donor stewardship initiatives for Girl Scouts of Greater Atlanta. The position also plays a key role in strengthening donor relationships through the support of council events, prospect research, and special projects as needed.
DUTIES AND RESPONSIBILITIES
CRM Management & Data Integrity (25%)
- Oversee all aspects of the fundraising CRM, including system management, procedures, and user training.
- Maintain an organized and efficient donor records system to ensure historic giving and engagement data is easily accessible for cultivation and relationship building efforts.
- Create and maintain individual, household, and organization records.
- Merge duplicates and perform routine data hygiene checks with guidance during onboarding.
- Build and send segmented communications, including newsletters, event invites, and appeals.
- Provide donor lists and reports, built from queries, as requested.
- Provide CRM training and ongoing support to staff across departments.
- Participate, as appropriate, in user groups that are related to fundraising CRM.
- Partner with GSUSA to manage alumnae data capturing; and supporting other aspects of annual giving and special giving as assigned.
- Maintain strict confidentiality of all donor and organization information.
Gift Processing & Reconciliation (25%)
- Manage gift entry, imports, and acknowledgment workflows.
- Create and manage online donation forms.
- Reconcile gift records across fundraising CRM, event systems, and Finance records.
- Generate appropriate personalized gift acknowledgment letters/envelopes within 48 hours of gift received.
- Manage in kind gift documentation and submission to Finance.
- Track single and multiyear pledges; prepare timely and personalized pledge reminders.
- Track donors in various constituencies and coordinate segmented and personalized mailings to them.
- Prepare annual donor tax receipts.
- Ensure management of donor recognition and stewardship programs, including updating acknowledgement letter content quarterly.
Event Systems Management (20%)
- Build event registration pages and backend configuration (e.g. auction, seating, and check in) for events.
- Manage event payment reconciliation, benefit vs. deductible splits, and donor crediting.
- Ensure event attendance and giving data flows accurately into donor records.
- Import contacts and engagement data from events and programs.
- Create and manage event and campaign specific acknowledgments and tracking within the CRM.
Reporting & Operational Support (20%)
- Prepare monthly revenue reports and reconcile data with the Finance Department.
- Develop and produce board reports and engagement scorecards.
- Consult with fund development staff to design and generate reports, dashboards, and analyses to support strategy.
- Oversee donor stewardship and retention initiatives such as the Girl Scout Gazette email newsletter, holiday emails, birthday cards, thank you notes, donor spotlights, etc.
- Serve as the team’s lead for customer support by departmental email inboxes and serving as the first point of contact for phone, email, and in person inquiries related to donor and volunteer support.
- Handle departmental inquiries and concerns using Volunteer Systems (a customized Salesforce platform) in alignment with standard business practices.
- Generate, format, and coordinate mailing of CRM based letters.
Strategy, Optimization & Campaign Readiness (10%)
- Manage and implement fundraising CRM automation tools, segmentation, and lifecycle tracking to support relationship building efforts.
- Evaluate and implement CRM upgrades and resolve system related issues.
- Assist with capital campaign data preparation and feasibility support.
- Document workflows and systems processes and share with the fund development team.
Qualifications

Required at Entry into Role
- Bachelor’s degree required
- 1+ years of experience in development, fundraising operations, data, or related nonprofit work
- Strong attention to detail and customer service mindset
- Comfort learning new systems and technical processes
