Role Summary

We are seeking a proactive and detail-oriented Defect Management Coordinator​ to support the defect rectification and punch list management for our construction projects. Reporting to the Defect Manager, you will be responsible for coordinating defect identification, tracking, contractor follow-up, and documentation across all disciplines to ensure works are completed in compliance with specifications and are ready for commissioning and handover.

Key Responsibilities

1. Defect Identification & Tracking

  • Assist in conducting regular defect inspections during the construction and commissioning phases.
  • Establish and maintain the project defect register, ensuring accurate status tracking, priority classification, and closure timelines.
  • Classify defects by severity, location, and impact on safety, quality, and project schedule.

2. Rectification Coordination

  • Liaise with main contractors and subcontractors to ensure timely submission of rectification plans.
  • Coordinate on-site repair and rework activities, ensuring alignment with project schedules and quality standards.
  • Arrange and witness re-testing or re-inspection of areas where defects have been rectified.

3. Quality Assurance & Compliance Support

  • Verify that defect rectification works comply with approved drawings, specifications, and client requirements.
  • Assist in carrying out random quality checks on completed works to identify potential issues early.
  • Support internal and external quality audits by providing defect reports and closure evidence.

4. Stakeholder Communication & Reporting

  • Act as a coordination point between the project team, consultants, contractors, and clients on defect-related matters.
  • Participate in defect review meetings and prepare minutes, highlighting open items and responsible parties.
  • Provide regular defect status reports and trend analysis to the project management team.

5. Documentation & Handover Support

  • Ensure proper filing of defect reports, inspection photos, test results, and as-built mark-ups.
  • Assist in preparing final handover documentation, including operation & maintenance manuals and warranty information.
  • Verify that all punch list items are fully resolved and formally closed prior to project handover.

6. Continuous Improvement Support

  • Collect data on recurring defects and assist in root cause analysis under guidance.
  • Provide feedback to the project team on lessons learned and best practices for defect prevention.

Qualifications & Experience

Education

  • Diploma or Bachelor’s degree in Civil Engineering, Construction Management, Architecture, or a related discipline.

Experience

  • Minimum 4–6 years​ of experience in construction defect management, quality control, or site coordination.
  • Experience in large-scale commercial, industrial, or mission-critical projects​ is preferred.
  • Prior exposure to projects in Malaysia or Southeast Asia​ is an advantage.

Technical Knowledge

  • Good understanding of construction processes, drawings, and specifications across multiple disciplines.
  • Familiar with inspection procedures, punch listing, and defect tracking methods.

Certifications (Preferred)

  • Certification in Quality Control / Quality Management (e.g., CQC, CCQM) is an advantage.
  • LEED Green Associate, PMP, or equivalent credentials are a plus.
