POSITION SUMMARY

 

The Database Coordinator position provides data administration and general administrative support services in support of both DNWest and Foundation activities. This position first and foremost provides data entry and administration in the shared customer relations management system ensuring the timely entry and the ongoing integrity of the information. Additionally, this position will provide administrative and team activity and event support. The Database Coordinator reports to the Foundation Executive Director and will work closely with the management teams of the Foundation, Finance and Marketing Departments.


ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Customer Relations Management System Administration

  • Administer all data activity in the customer relations management (CRM) system used by DNWest and the Foundation.
  • Ensures complete and accurate entry of all data and the responsibility to check for data and system integrity.
  • Coordinate with partners in DNWest Finance on reporting of gift review and on monthly reconciliation processing.
  • Assists with the preparation of materials for activities and events.
  • Processes USPS mailings and FedEx and UPS shipments, ensures that mail/packages are picked up as needed, tracks packages when necessary.
  • Assists with the scheduling, coordinating, attending, and taking minutes for department and committee meetings, and ensures distribution of and receipt of materials prior to meetings.
  • Monitors and maintains department inventory as assigned. Assists in ordering office supplies as needed.
  • Distributes applicable documents and correspondence promptly to the proper staff.
  • Facilitates the completion, printing, and mailing of materials and communication. 

QUALIFICATIONS

  • Strong attention to detail, written and verbal communication skills, including skills in ensuring data entry and data integrity within a complex data management system.
  • Understanding of accounting principles and financial reconciliation process.
  • Presents a positive attitude and professionalism.
  • Able to work productively both independently, and as a team participant.
  • Demonstratable strong organizational skills, ability to handle highly stressful situations in a calm, mature manner, using sufficient judgment and discretion at all times.
  • Can maintain confidentiality.
  • Thrives in a fast-paced dynamic environment and adjusts to new priorities as required. 

EDUCATION AND EXPERIENCE

  • High school diploma or GED equivalent preferred with graduation from an accredited business school or college highly preferred.
  • Minimum 2 years of related administrative work preferred.
