Join Neumo's Chicago Scanning Operations team and play an important role in preserving historical, legal, and government records for future generations.

Our team partners with local government agencies to convert physical records into secure, high-quality digital archives. As a Document Processing Associate, you'll work hands-on with a variety of materials, including microfilm, roll film, books, files, and paper documents, helping ensure important information remains accessible and protected.

This is an excellent opportunity for individuals who enjoy detail-oriented work, thrive in structured environments, and take pride in producing accurate results. No prior scanning experience is required. We provide training for candidates who demonstrate reliability, strong attention to detail, and a willingness to learn.


Duties and Responsibilities: 

Document Preparation & Scanning

  • Prepare materials for scanning by removing staples, bindings, paper clips, and other fasteners
  • Operate document scanning and imaging equipment
  • Capture high-quality digital images of paper records, books, files, microfilm, roll film, and other archival materials
  • Organize, stage, track, and return documents throughout the scanning process
  • Follow established procedures for handling confidential and sensitive records

Inventory & Data Management

  • Maintain accurate inventory records using Microsoft Excel and internal systems
  • Perform data entry and document tracking activities
  • Verify document counts and maintain accurate project records

Quality Control & Digital Processing

  • Review scanned images for accuracy, completeness, and image quality
  • Verify that records meet project and client requirements
  • Perform basic image corrections when needed
  • Identify and resolve scanning errors

Teamwork & Professionalism

  • Communicate effectively with supervisors, project leads, and team members
  • Support project deadlines and production goals
  • Represent Neumo professionally while working at client locations
  • Follow all confidentiality, security, and document-handling procedures

Education and Experience:

  • High School Diploma or equivalent
  • Experience in document scanning and data entry
  • Experience with scanning equipment such as OPEX, Inotec, or similar production scanners
  • Experience working with microfilm or roll-film scanning
  • Experience performing quality control or production-based work
  • Familiarity with digital imaging concepts such as file formats, image resolution, and image quality


Knowledge, Skills and Abilities: 

  • Basic computer skills and ability to learn new software quickly
  • Proficiency with Microsoft Excel
  • Familiarity with Microsoft Outlook, Word, and Teams
  • Strong attention to detail and commitment to accuracy
  • Ability to follow established procedures and instructions

Work Environment:

  • Work is performed primarily at client locations where records are stored and processed
  • Project sites may include office environments, records facilities, or warehouse-style locations
  • Team members may be assigned to different projects based on business needs
  • Moderate noise levels and regular use of scanning equipment, computers, and office technology
  • Professional conduct is required at all times, as employees represent Neumo while working on-site
  • Team members may be assigned to different projects, document types, and client locations based on business needs, project schedules, and operational priorities.


 Physical Demands:

  • Ability to lift and move materials weighing up to 30-50 pounds, depending on project needs
  • Frequent movement of files, boxes, books, film, and document containers
  • Ability to sit or stand for extended periods while performing repetitive tasks
  • Regular use of computers, scanners, printers, and other office equipment
  • Ability to move throughout office, records-storage, and warehouse environments
