JOB OBJECTIVE:
The Data Management Specialist is responsible for performing general data management procedures for the farms including recordkeeping and providing accurate data and reports for the farms. The position is also responsible for the entry of data in the farm’s systems and databases including the extraction and analysis of system reports.
The Data Management Specialist also facilitates the monitoring and restocking of farm supplies, feeds and other required resources of the farms.
KEY DUTIES & RESPONSIBILITIES:
DATA COLLECTION AND MANAGEMENT
Ensures that farm data are collected in a timely manner.
Ensures that farm data are complete and accurately recorded.
Ensures proper recordkeeping and organization of farm records to ensure data preservation, accessibility and security.
Reviews and evaluates farm systems and processes and recommends improvements to ensure adequacy, accuracy and quality in data recording and collection.
Conducts data extraction in farm systems and databases and organizes them prior to sending to target recipients.
Records, collects, manages, keeps and maintains farm data following the company’s policies and procedures.
Consolidates, stores and organizes farm production data in assigned area/s and uploads them in the farm’s central repository or database.
Review processes in the area of farm data handling and management and propose modifications or creation of new procedures whenever necessary.
Provide inputs to improve report forms and templates used in the farms to align with the standards and better cater farm requirements.
Reviews and evaluates data related processes in the assigned area/s and provides feedback and recommendations for improvement as necessary.
DATA ANALYSIS
Processes data and examines them to look for patterns, trends or useful information needed by the Farms management to make informed decisions.
Create regular data analyses of the farms performance data to help in identifying creative solutions that will aid in achieving the Farms’ performance goals.
Reviews and evaluates farm processes and recommends improvements to accelerate the processes of data analysis and reporting.
REPORTS MANAGEMENT
Navigates farm database and software systems effectively and regularly enters and extracts reports to be used by the Farms team.
Regularly accomplishes production reports and other reports needed by the farms and other departments.
Prepare performance reports on a regular basis needed for the Farms regular performance reviews and management meetings.
WAREHOUSING & INVENTORY MANAGEMENT
Carries out all warehousing and inventory management tasks in assigned area/s such as but not limited to receiving, storing, handling, recording including preparing and issuance of materials intended for the farms.
Manages farm inventories that includes the tracking of inventory, keeping the inventory at optimal levels, requisition of supplies, tracking of orders and monitoring of deliveries.
Regularly updates all forms of inventory reports within the warehouse and within the software systems and make sure that daily transactions, activities and processes run smoothly and efficiently within the set standards.
Regularly tracks and reports stocks expiry and observes FIFO and FEFO procedures.
Ensures proper care and handling of farm supplies by following the required storage conditions for medicines, vaccines and other supplies,
CUSTOMER SERVICE
Ensures the timely preparation and issuance of various swine medicines, vaccines and supplies to farm personnel.
Helps the farm management team by giving timely support and inputs on complaints, inquiries and other requirements.
OTHERS
Provides support in the planning and execution of farm data-related projects.
Appointed membership to committees whenever necessary.
Participates in the expansion projects and/or projects improvements of the farm operations as may be assigned.
Provide training and guidance to co-workers if necessary.
Actively participate in all company programs and activities under quality improvement, safety & security, sustainability, corporate social responsibility, risk management etc.
Performs other tasks related to the job as may be assigned by the immediate superior.
JOB REQUIREMENT:
Education:
BS in Animal Science or Management or Computer Science or any related course.
Experience:
● At least one (1) year in related work experience
