Position Overview

The Data Entry Specialist – Training & Staff Development provides administrative and operational support to the Training & Staff Development Department. This position plays an important role in coordinating employee training activities, maintaining accurate training records, preparing training materials, supporting new employee orientation, and monitoring completion of required training.

The Data Entry Specialist works closely with the Training Department, Human Resources, supervisors, managers, trainers, and employees to ensure training requirements are completed, documented, and reported accurately and in a timely manner.

The ideal candidate is highly organized, detail-oriented, comfortable working with computer systems and data, and able to manage multiple priorities in a fast-paced environment while providing excellent customer service.

Essential Duties and ResponsibilitiesTraining Administration & Data Management
  • Enter, maintain, and update employee training records, certifications, attendance, and completion statuses in the Learning Management System (LMS) and other training recordkeeping systems.

  • Review training documentation for accuracy and completeness, including employee information, training codes, dates, course titles, and other required information.

  • Maintain organized and accurate training files, records, and certifications in accordance with agency requirements.

  • Generate monthly training reports and provide information to the appropriate supervisor or department.

  • Monitor employee training progress and assist with identifying outstanding or incomplete training requirements.

New Employee Orientation & Training Support
  • Prepare new employee orientation and training packets.

  • Assist new employees with computer-based training and independent learning modules.

  • Communicate with new employees and their supervisors regarding orientation and required training.

  • Follow up with new hires and supervisors to help ensure required training is completed within established timeframes.

  • Provide administrative support during orientation and other scheduled training activities.

Training Coordination & Communication
  • Track training registrations and communicate with employees regarding upcoming training opportunities and requirements.

  • Contact employees and supervisors with reminders regarding scheduled training.

  • Communicate with trainers and presenters to confirm participation in scheduled training events.

  • Prepare and distribute training announcements, flyers, memoranda, forms, and other communications through email and other appropriate channels.

  • Monitor attendance and training completion to help ensure agency requirements are met.

Training Materials & Department Support
  • Prepare, organize, duplicate, and distribute training materials, handouts, presentations, forms, and other documents as requested.

  • Review documents for accuracy, formatting, spelling, punctuation, and grammar before distribution.

  • Order and maintain departmental supplies needed for training events, including folders, notepads, writing supplies, refreshments, and other materials.

  • Assist with processing invoices and tracking training-related expenses as assigned.

  • Organize, inventory, and maintain training resource materials.

  • Coordinate the sign-out and return of training materials and conduct periodic audits of training resources.

  • Assist with special projects and other departmental assignments as needed.

QualificationsEducation & Experience
  • Bachelor’s degree from an accredited college or university preferred.

  • Relevant professional training or work experience may substitute for the preferred bachelor’s degree on a year-for-year basis.

  • Proficiency in Microsoft Word and Excel is required; experience with Microsoft Access or similar database systems is preferred.

  • Previous experience with Learning Management Systems (LMS), data entry, training administration, Human Resources, or administrative support is preferred.

Licensure & Certification
  • Must possess and maintain a current, valid driver’s license.

  • Must maintain Apalachee Center Designated Auto Driver status, as applicable.

  • Ability to maintain confidentiality and appropriately handle sensitive employee and organizational information.

Knowledge

The successful candidate should have:

  • Knowledge of general office practices, administrative procedures, and recordkeeping systems.

  • Knowledge of methods and procedures for maintaining, processing, retrieving, and managing records and documentation.

  • Working knowledge of computers, Microsoft Office applications, databases, and electronic recordkeeping systems.

  • Ability to learn and effectively utilize agency-specific software, databases, and Learning Management Systems.
