We are seeking a highly organized and detail-oriented Customer Service Documentation Coordinator to join our Customer Service team within our Benelux organization. In this role, you will be responsible for ensuring that all shipment documentation is accurately prepared, verified, and distributed, supporting smooth and compliant operations. You will collaborate closely with both internal teams and customers to resolve any documentation-related issues promptly, ensuring a seamless and efficient process.
Key Responsibilities
- Handle customer inquiries via phone, email or online systems to ensure a smooth export documentation process and excellent customer experience
- Coordinate with booking teams, back offices and operations, to ensure accurate cargo details and vessel schedules.
- Manage amendments, switch B/L requests, and corrections as per company policy and customer requests.
- Manage clearance procedures and data entry for shipments.
- Ensure all documentation is completed and released before vessel cut-off deadlines.
- Oversee the export demurrage/storage process, ensuring timely resolution.
- Supervise the full documentation process from start to finish.
- Issue documents, manage billing, and coordinate the collection of charges for cross-trade shipments.
- Support internal audits and work collaboratively to improve documentation processes and turnaround times.
- Relevant professional experience in forwarding, liner agency, or a related field.
- Strong commercial mindset with a proven track record of success.
- Strong communication skills with the ability to interact effectively with both internal departments and external clients.
- Excellent organizational abilities and keen attention to detail.
- Ability to adapt with a flexible, "can-do" attitude and work effectively as a team player.
- Focus on process improvements and optimization.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Fluency in Dutch and English
- Knowledge of customs documentation is a plus.
- Strong IT skills, particularly in MS Office
