The Corporate Legal Operations Specialist independently manages key legal operations, corporate governance, vendor coordination, reporting, records management, and departmental business processes for the Legal Department. This role exercises discretion and independent judgment in evaluating priorities, resolving operational issues, identifying process improvements, and coordinating business-critical deliverables. The position supports senior legal leadership by analyzing information, managing confidential legal and business records, advising on operational workflows, and ensuring timely completion of corporate, regulatory, and department obligations.

Key Accountabilities/Deliverables:

  • Managing and maintaining department records, databases, and filing systems.

  • Coordinate annual reporting and entity maintenance activities.

  • Lead corporate recordkeeping and document retention initiatives.

  • Oversee legal operations records, governance documentation, and department information management processes to support business continuity and compliance.

  • Serve as primary operational liaison with vendors, outside counsel, Finance, Compliance, and business stakeholders to resolve operational matters and drive timely outcomes.

  • Review and analyze vendor invoices, budget activity, and expense trends; identify discrepancies and recommend resolution or escalation.

  • Monitor shared departmental mailboxes and route requests appropriately.

  • Track deadlines, action items, and ongoing projects.

  • Develop, analyze, and present reports, dashboards, presentations, and business summaries that support legal leadership decision-making and operational oversight.

  • Participate and/or lead special projects and process improvement initiatives.

  • Maintain department information within SharePoint and other business systems.

  • Provide administrative and operational support to legal leadership and team members.

  • Other duties as assigned.

Experience:

  • High school diploma or GED required.

  • College coursework, associate’s degree, or bachelor’s degree preferred, but not required.

  • 2+ years of professional experience preferred.

  • Experience in operations, administration, project coordination, business support, financial services, insurance, legal, compliance, or a related regulated industry is a plus.

  • Experience managing information, records, projects, or administrative processes is preferred.

  • Experience working with or supporting in-house or law firm legal roles/teams is preferred.
