Job Description

The Corporate Human Resources Coordinator will provide support to Inter-Con’s corporate office employees. This position is responsible for corporate HR communications, arranging and providing support for team events (bi-monthly car wash, lunches, raffles, etc.) and ownership of the service awards program. The Corporate HR Coordinator is based on-site in Pasadena and will report to the Director of Human Resources.

Primary Responsibilities

  • Creates and distributes Corporate HR communications
  • Coordinates and oversees the Corporate Work Study Program (CWSP) for assigned high school students throughout the academic year, including serving as the liaison between the school and corporate teams, providing day-to-day supervisory support, and reviewing and processing student timecards.
  • Owns the company service milestone awards program, including creating and distributing service awards and communicating employee milestones to managers.
  • Coordinate employee death cases from notification through closure, including timely communications, cross-functional follow-through, case documentation, and appropriate escalation.
  • Maintains and updates corporate new hire packets and related onboarding materials to ensure information remains accurate and current.
  • Separates, scans and distributes incoming mail to appropriate departments
  • Coordinates and facilitates corporate employee events and marketing events
  • Assists with company branded swag, including monitoring inventory, reordering products, and sending out swag orders as needed
  • Assists with verifications of employment as needed
  • Serves as an active member of the corporate newsletter committee
  • Maintains accurate and complete records, files and reporting in accordance with company processes, policies, procedures, and applicable regulatory requirements.
  • Uses individual discretion to identify and escalate appropriately
  • Provides backup support for designated HR functions and processes as needed to ensure continuity of operations.

Qualifications

  • Bachelor’s Degree in related field preferred
  • Minimum of 2-4 years’ experience in HR administrative support role demonstrating increasing levels of responsibility.
  • Highly Proficient with MS software including Word, Excel & PowerPoint. Canva and Google Photos experience is a plus.
  • Paycom or ADP experience preferred but not required.
  • Excellent written, verbal, and interpersonal skills with the ability to interact with co-workers, internal and external customers, and senior management.
  • Must be able to maintain strict confidentiality and handle sensitive information.
