What you'll do
- Provide comprehensive executive administrative support. You'll provide comprehensive executive administrative support to the team, acting as a key pillar for the Corporate Governance Team and Compliance department.
- Drive the full lifecycle of Board proceedings. You'll meticulously prepare agendas and Board Packs, finalize resolutions, meeting minutes, and notices for Trading and Holding entities.
- Prepare, organize, and file statutory documents. You'll prepare, organize, and file important statutory documents and reports meticulously, including post-meeting compliances for all minutes.
- Maintain accurate records. You'll maintain accurate digital and physical records, ensuring all registers (Minutes, Directors, Shareholders) are kept up to date through monthly spot checks.
- Liaise with teams and service providers. You'll liaise with various internal teams and external service providers, managing requests related to companies within and outside of the Deriv Group.
- Supervise team members. You'll supervise team members by performing reviews.
- Conduct screening and risk assessments. You'll conduct screening escalations via screening tools and review Risk Assessments.
- Lead governance and compliance projects. You'll lead and achieve goals for specific corporate governance and wider regulatory compliance projects.
- Facilitate professional growth. You'll facilitate professional growth within the team by scheduling knowledge-sharing sessions, refresher training, and overseeing the onboarding of new team members.
- Utilize and suggest AI tools. You'll utilize and proactively suggest new AI tools to enhance document management, corporate governance systems, and scheduling efficiency.
Who you are
- You have solid administrative experience. 5+ years in office administration or a similar support role. You know how to keep operations running smoothly.
- Fluency in Spanish is preferred. Although not mandatory, Spanish fluency is preferred as the role involves regular interaction with Spanish-speaking stakeholders.
- You're organized and detail-oriented. Strong organizational skills and meticulous attention to detail. You catch errors before they become problems.
- You're comfortable with technology. Proficient in Microsoft Office and comfortable learning new software. You adapt to new tools quickly.
- You communicate clearly. Strong communication skills for working with internal teams and external service providers.
- You're proactive and dependable. You manage projects without constant supervision and deliver on commitments.
- You want to keep learning. Strong desire for continuous learning and professional development within a team setting.
