Job Summary

The Case Management Coordinator is responsible for coordinating bed-to-bed patient transports via air medical services. This role serves as a critical liaison between hospital case managers, discharge planners, payors, and internal flight coordination teams to facilitate seamless patient transfers. The Case Management Coordinator ensures timely authorization, verifies insurance benefits, negotiates and secures Single Case Agreements (SCAs), and identifies private pay opportunities while maintaining exceptional customer service and compliance standards.

This position combines operational coordination, insurance verification, revenue optimization, and relationship management to support safe and efficient patient transport.

Essential Functions and Responsibilities include the following: 

  • Ensure accurate intake, documentation, and coordination of patient transport cases from request through completion.
  • Verify patient insurance benefits, negotiate and secure Single Case Agreements (SCAs), secure pre—authorizations when required.
  • Maintain key existing customer relationships / partnerships as assigned which includes, but not limited to, assistance in selling or coordination of transports.
  • Coordinate closely with operations, dispatch, clinical teams, and flight crews to ensure timely, safe, and efficient execution.
  • Liaison for REVA Operations Center to Revenue Cycle Management Team.
  • Partner with sales and leadership teams to support new accounts, renewals, and market expansion.
  • Work closely with communications center leadership to provide timely updates regarding business and demographic changes, including competitive market intelligence.
  • Responsible for assuring that all business activities are in compliance with designated REVA standards.
  • Other duties as assigned

  • Regular scheduled attendance
  • Travel may include domestic U.S. or International Travel, must maintain appropriate travel documentation.

Supervisory Responsibilities

May be responsible for direct supervisory duties if assigned direct report.  Carries out Supervisory responsibilities in accordance with the organization’s policies and applicable laws.  Responsibilities include interviewing, selecting, hiring, and training employees, planning, assigning and directing work; appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.  For Exempt Managers:  Managers that carry out these responsibilities for two or more employees will have significant input in hiring and termination decisions.

Education & Experience

  • Bachelor’s degree from four-year college or university or Three (3) years related experience and/or training within aviation or medical and medical transportation services; or equivalent combination of education and experience.
  • 2-3 years’ experience working in case management, healthcare coordination, revenue cycle, or insurance verification
  • Experience in medical transportation services or EMS preferred

  • Intermediate with Microsoft Suite, including Word, Excel, PowerPoint, Power BI and Outlook
