The Associate EmPact Team Coordinator serves as a high-impact operational partner, providing logistical, analytical, coordination, and execution support for the Associate EmPact Team, an ADUSA HR Center of Excellence (CoE). As a central point of contact, this role helps drive initiatives across three key pillars: Partnerships & Support, Programs & Awareness, and Cultural Education & Celebration, ensuring efforts are aligned with both business objectives and team priorities.
Leveraging strong technical proficiency, the Coordinator manages communications, streamlines workflows, optimizes processes, and develops and maintains team documentation, resources, annual plans, and operational tools. By cultivating strong internal and external partnerships, this role enables seamless collaboration, effective information sharing, and successful execution of team priorities. The Coordinator also captures insights, documents lessons learned, and incorporates best practices to support continuous improvement and enhance team effectiveness.

Duties and Responsibilities:
Coordination & Execution
- Coordinate and execute Associate EmPact initiatives across the three pillars: Partnerships & Support, Programs & Awareness, and Cultural Education & Celebration.
- Support the planning, implementation, evaluation, and execution of programs, events, initiatives, and team activities.
- Track deliverables, timelines, milestones, and action items to ensure successful execution of team priorities.
- Identify operational challenges to maintain momentum and achieve desired outcomes.
- Provide logistical support for meetings, events, and special initiatives.
Communications & Stakeholder Engagement
- Serve as a central point of contact for the Associate EmPact team, ensuring timely and effective communication among stakeholders.
- Draft, edit, and distribute communications, presentations, reports, and meeting materials.
- Coordinate communication strategies that promote awareness, engagement, and participation in team initiatives.
- Build and maintain strong relationships with internal partners, leaders, associates, and external stakeholders.
- Facilitate information sharing and collaboration across teams and functions.
Planning, Process Improvement & Operations
- Prepare, maintain, and track annual team plans, objectives, and key deliverables.
- Audit and scrutinize invoices and backup documentation prior to submitting for payment.
- Create and maintain documentation, document repositories, standard processes, project plans, and team resources.
- Streamline workflows and implement process improvements to increase efficiency and effectiveness.
- Capture lessons learned, document best practices, and incorporate feedback to drive continuous improvement.
- Monitor progress against goals and provide recommendations to improve team operations and outcomes.
Data, Reporting & Analysis
- Collect, organize, and analyze program and engagement data to support decision-making.
- Develop high quality reports, dashboards, and presentations that communicate program results, trends, and key insights.
- Track metrics and evaluate the effectiveness of initiatives against established goals.
- Identify opportunities for improvement based on data, stakeholder feedback, and program outcomes.
Technology & Resource Management
- Leverage technology and digital tools to support collaboration, project management, communications, and reporting.
- Manage and maintain team collaboration platforms, shared resources, and knowledge repositories.
- Identify and implement technology solutions that improve operational efficiency and team productivity.
- Ensure team documentation, records, and resources are accurate, accessible, and up to date.
Leadership & Team Support
- Foster a culture of collaboration, innovation, and continuous improvement.
- Approach the work with a customer centric approach
- Anticipate team needs and proactively recommend solutions to enhance effectiveness and impact.
- Support special projects and strategic initiatives as assigned.
- Represent the Associate EmPact team with professionalism and a commitment to organizational values.
Qualifications:
- Associate's degree or equivalent combination of education and relevant work experience.
- 3+ years of experience in project, program, or operational coordination.
- Proven ability to manage multiple priorities, deadlines, and projects in a fast-paced environment.
- Strong organizational, planning, and coordination skills with exceptional attention to detail and follow-through.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and OneDrive.
- Strong technical aptitude with the ability to quickly learn and leverage new technologies, digital tools, and collaboration platforms.
- Excellent written, verbal, and interpersonal communication skills, with the ability to build relationships and collaborate effectively across all levels of the organization.
- Ability to create draft presentations, communications, and reports.
- Ability to work independently, exercise sound judgment, and handle confidential information with discretion.
- Experience developing and maintaining documentation, processes, project plans, and knowledge repositories preferred.
Preferred Qualifications:
- Bachelor's degree.
- Proficiency in Power BI, including dashboard development and reporting.
- Experience with workflow automation tools and process optimization.
- Experience using data and analytics to support decision-making and continuous improvement.
