The Role
We are seeking an organized and detail-oriented Contracts & Commercial Administration Specialist to support the day-to-day administration of contracts, commercial documentation, and related internal processes.
The role will work closely with the Finance, Legal, and business teams to ensure that contracts and supporting documents are properly maintained, required documentation is complete, deadlines and contractual milestones are followed up, and records are accurate and up to date.
What You’ll Do
- Coordinate the administrative lifecycle of contracts, including drafting, preparation for signature, execution follow-up, filing, amendments, renewals, and closeout.
- Maintain a centralized and up-to-date repository of contracts, supporting documents, and related correspondence.
- Track key contractual and commercial dates, including contractual milestones, expiry dates, renewals, deliverables, and payment-related deadlines.
- Coordinate with the Finance Department to ensure that the contractual and supporting documentation required for payment processing is complete, properly submitted, and followed up in a timely manner.
- Track the status of invoices, acts of acceptance, purchase orders, and other supporting commercial documents and coordinate with the responsible teams where documents or approvals are outstanding.
- Ensure that relevant contracts and supporting documents are correctly linked to the respective project, client, vendor, or internal request for proper record keeping and processing.
- Coordinate document flow between Finance, Legal, business teams, clients, vendors, and other counterparties.
- Follow up with internal stakeholders and external counterparties on outstanding documents, signatures, approvals, contractual actions, and deadlines.
- Maintain trackers and prepare regular status updates on contracts, documentation, upcoming deadlines, and pending actions.
- Support the Legal team with standard contracts and documentation where required and escalate matters requiring legal review.
- Assist with general commercial and administrative processes and contribute to improving internal workflows and document management practices.
What You Bring
- Bachelor's degree in Business Administration, Finance, Law, Economics, or a related field.
- 1-3 years of relevant experience in contract administration, commercial coordination, document control, business administration, or a similar role.
- Basic understanding of contracts and commercial documentation
- General familiarity with invoices and supporting commercial documentation;
- Strong organizational and follow-up skills.
- High attention to detail and accuracy in documentation.
- Ability to coordinate effectively across different departments and follow multiple ongoing matters simultaneously.
- Good written and verbal communication skills.
- Confidence working with Excel and document management/tracking tools.
- Experience with ERP, contract management, or document control systems such as SAP, Oracle is an advantage
- Ability to work with DocuSign, SharePoint, or similar platforms.
- Ability to work responsibly within deadlines and escalate issues when necessary.
