Position Summary:

The Contracts Administrator is responsible for supporting the administration, compliance, documentation, and reporting functions associated with ScanSource's government and cooperative purchasing contract program. This role serves as the operational backbone of the contracts function, ensuring contract records, GSA catalog data, compliance documentation, reporting requirements, and audit readiness are maintained across all active contract vehicles.

Working closely with the Sr. Director, Converged Sales & Operations and Director, Federal Sales Operations, the Contracts Administrator provides administrative support for government and cooperative purchasing contracts while helping establish scalable processes, controls, and tools that support organizational growth and compliance requirements.

This role will play a critical part in maintaining contract integrity, supporting internal stakeholders, and ensuring ScanSource remains compliant with contractual obligations across existing and future public-sector purchasing programs.


Role Scope

  • Establish and maintain the operational foundation for government and cooperative purchasing contract administration.
  • Manage contract records, reporting requirements, compliance documentation, and contract repositories across all active contract vehicles.
  • Support administration of GSA schedules, cooperative purchasing agreements, and other public-sector contract vehicles.
  • Maintain audit-ready documentation and ensure adherence to internal controls and contractual requirements.
  • Assist in developing tools, processes, and reporting mechanisms that support program scalability and organizational adoption.
  • Partner with Sales, Legal, Finance, Operations, Supplier Services, and Technical Services to ensure accurate contract administration and compliance execution.
  • Support the continuous improvement of contract management processes and operational efficiencies.

Essential Job Duties:

Contract Administration & Records Management

  • Maintain complete and accurate contract files, documentation repositories, amendments, modifications, pricing updates, and supporting records.
  • Administer contract data across active government and cooperative purchasing contract vehicles.
  • Manage contract documentation lifecycle activities, including organization, filing, retention, and archival requirements.
  • Maintain GSA catalog data and coordinate updates as required to ensure accuracy and compliance.
  • Monitor contract renewal dates, reporting deadlines, modification requirements, and other contractual obligations.
  • Ensure contract-related records remain current, accessible, and audit-ready.

Compliance & Audit Support

  • Conduct routine compliance reviews to verify adherence to contract requirements, company policies, and regulatory guidelines.
  • Maintain compliance tracking mechanisms and documentation supporting contractual obligations.
  • Assist with preparation for internal and external audits by compiling records, reports, and supporting documentation.
  • Monitor compliance metrics and identify areas requiring corrective action or process improvement.
  • Support risk mitigation efforts through accurate documentation and adherence to established controls.
  • Escalate compliance concerns and documentation discrepancies to leadership as necessary.

Reporting & Program Administration

  • Generate recurring reports related to contract utilization, compliance status, supplier participation, and program activity.
  • Maintain dashboards and reporting tools that provide visibility into contract performance and operational metrics.
  • Coordinate data collection and reporting requirements across multiple departments.
  • Support administration of supplier participation programs and contract-related onboarding activities.
  • Assist in preparation of business reviews, compliance reviews, and performance reporting.

Process Development & Organizational Support

  • Assist in the development and implementation of tools, templates, workflows, and processes necessary to support the growth of the contracts program.
  • Help establish standardized procedures that improve consistency, efficiency, and compliance across the organization.
  • Create and maintain process documentation, user guides, and training materials.
  • Support organizational rollout and adoption of contract administration processes and tools.
  • Identify opportunities for automation and process improvements that enhance accuracy and operational efficiency.
  • Collaborate with cross-functional teams to improve contract visibility, governance, and execution.

Required Qualifications:

  • Bachelor's degree in Business, Finance, Public Administration, Legal Studies, Procurement, or related field, or equivalent work experience.
  • 3-5 years of experience in contract administration, procurement, compliance, legal operations, sales operations, or related business functions.
  • Experience maintaining contract records, documentation, reporting, and compliance requirements.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Experience managing multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, and reporting tools.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively across Sales, Legal, Finance, Operations, and other support functions.

Preferred Qualifications:

  • Experience supporting GSA schedules, cooperative purchasing agreements, or government contract administration.
  • Familiarity with public-sector procurement requirements and compliance processes.
  • Experience maintaining contract databases, reporting systems, or governance tools.
  • Knowledge of government contract documentation requirements, audit procedures, and compliance best practices.
  • Experience within technology distribution, telecommunications, cloud services, networking, cybersecurity, or channel ecosystems.
  • Professional certifications related to contract administration, procurement, compliance, or project management are a plus.

Compensation:

Compensation Range: $60,000 - $75,000

Actual annual salary offered to a candidate will be based on a number of variables including work experience, education and skills/ achievements, and will be mutually agreed upon at the time of offer.  This position is not eligible for a variable pay component as part of the hiring range.
