POSITION PURPOSE

The Contract Specialist plays a critical role on the Contracts and Procurement team. This team operates as a proactive business partner managing risk across a broad range of commercial and corporate issues in a dynamic environment.

The Contract Specialist is a contract administration professional focused on supporting the contract team in providing practical, creative, thoughtful, and timely guidance to key legal challenges pertaining to contracts and/or liability concerns.

PRIMARY RESPONSIBILITIES

  • Manage and draft low risk, low dollar contracts through the entire contract lifecycle following YPO standards and service requirements.

  • Negotiate directly with external parties.

  • Manage and draft non-disclosure agreements through the entire contract lifecycle.

  • Administration and maintenance of Contract Lifecycle Management software system (Icertis).

  • Assist contract team in follow-up with vendors, associates, information gathering, and collecting information from potential and existing vendors (including certificates of insurance, and tax documents).

  • Manage Contract Support service tickets in Salesforce and escalate when appropriate.

  • Provide training and tutorials for associates on the Contract Management System and the contracts process.

  • Maintain contract file storage in accordance with policies and procedures.

  • Provide administrative support to the department as needed.

  • Maintain and update contractual records and documentation.

  • Manage cancellation, termination and renewal dates for Contracts.

  • Provide backup support for Contract Manager, and Procurement Specialist when necessary.

  • Complete ad hoc reports, tasks and projects as required.

EXPERIENCE/BACKGROUND

  • 3+ years’ experience in business operations or contract administration.

  • Advanced knowledge of contract principles and procedures.

  • Excellent organizational skills and superior attention to detail.

  • Excellent administrative skills.

  • Excellent written and verbal communication skills.

  • Proficient in Microsoft Office Suite or similar software.

  • Proficient in contract lifecycle system management.

EDUCATION/TRAINING/CERTIFICATION

  • Bachelor’s degree or related equivalent work experience.

PHYSICAL REQUIREMENTS

  • Ability to work flexible and/or extended hours as needed to accommodate members and team members in multiple time zones.

  • Willingness and ability to travel, domestically and internationally, without restrictions, approximately 5-10% per year.
