Job Description
Position Summary
The Contract Administrator is responsible for ensuring that contracts, change orders, purchase orders, SOWs and insurance coverage for all Property Management Ordinary Capital and Tenant Coordination projects are in compliance with company policies and procedures. The Contract Administrator will also provide direction and guidance to the field regarding the IS application which supports the Property Management and Tenant Coordination Bids and Contracts submission and approval process.
Responsibilities
Coordinate the administration, follow-up, and tracking of all work orders, contracts, change orders and purchase orders submitted by the Property Management and Tenant Coordination teams
Provide direction to the mall teams, National Operations Sr. Directors and Tenant Coordinators with regards to all current versions of contract forms and policies
Collaborate with vendors to ensure all relative and required contract forms are provided and completed properly so that invoicing is smooth
Perform all administrative tasks and user inquiries for the Proliance Ordinary Capital and Tenant Coordination Bids & Contracts system
Support the mall teams and Tenant Coordination team with the tracking of commitment documents from creation through final approval
Provide information to the mall teams and administrators regarding the status of contracts and change orders submitted
Participate in any User Acceptance Testing related to enhancements to the Proliance Ordinary Capital and Tenant Coordination Bids & Contracts system
Provide information as requested from Internal Audit
Perform regular updates of the Bids and Contracts procedural manual
Performs other duties and special projects as assigned
Qualifications
High School diploma or GED required
College Degree preferred
Minimum of 3 years of related experience
Ability to manage projects independently
Ability to communicate with all levels within the organization
Ability to work and learn independently and in a team situation
Strong organizational and time management skills
Ability to deal with multiple tasks effectively and establish priorities
Strong attention to detail
Excellent PC, Excel, MSWord
Able to quickly learn and be proficient with additional software packages
Compensation
Salary type: Non-Exempt
Pay Frequency: Bi-weekly
Hourly Pay Range: $26.44 – $36.05
Annual Bonus Eligibility: 10%
