What Drives Success

As a Contract Administrator, you will play a key role in supporting the accurate and efficient administration of preventive maintenance (PM) contracts and customer account information within our organization. Working closely with our Customer Experience Specialist (CES), Pricing Analysts, Accounting, Operations, and branch personnel, you will be responsible for ensuring contract data, pricing, billing information, and customer account records are accurately maintained in company systems. Your attention to detail and ability to manage multiple priorities will be critical in processing contract-related changes, resolving discrepancies, supporting billing activities, and maintaining data integrity. Success in this role requires strong organizational skills, effective communication, and the ability to collaborate across multiple teams to deliver excellent customer support and operational efficiency. Your contributions will play a vital role in maintaining accurate contract data, supporting operational efficiency, and ensuring a high level of service for both internal and external customers. 

Responsibilities: 

  • Support contract implementation and customer onboarding activities 
  • Manage creation and scheduling of new PM locations in Great Plains and MFO. 
  • Populate contractual information and pricing accurately in MFO. 
  • Process cancellations of PM locations and SCIDs as per customer requests. 
  • Update SCID prices and manage bulk changes as needed. 
  • Handle transfers of locations between branches and address changes efficiently. 
  • Review and correct discrepancies in contract reports daily. 
  • Run auto bill reports and collaborate with Accounting for monthly billing. 
  • Ensure adherence to company procedures and controls for contract management. 
  • Collaborate with crossfunctional teams, including Sales, Operations, Pricing, and Accounting, to support contract administration activities and resolve customer account discrepancies. 
  • Support contract administration activities by maintaining accurate customer, pricing, and service agreement data while ensuring timely processing of account changes and updates. 
  • Generate and distribute reports related to contract activity, billing, and account maintenance. 
  • Assist with special projects and process improvement initiatives related to contract administration. 
  • Identify process improvement opportunities and support initiatives to enhance contract administration accuracy and efficiency. 
What We Are Looking For
  • Associates degree in Business Administration or two year relevant experience in related field. 
  • Proficiency in Microsoft Office Suite and contract management software. 
  • Strong attention to detail, organizational, and communication skills. 
  • Ability to multitask and prioritize tasks effectively. 
  • Ability to manage confidential information and maintain a high level of accuracy. 
  • Strong analytical and problem-solving skills with the ability to identify discrepancies and resolve issues. 
  • Previous experience in contract administration or related role preferred. 
What We Offer

Compensation: This is a salaried non-exempt role. This means that employees are paid a salary and also receive overtime pay when they work more than 40 hours in a week (or as otherwise required by state law).  The starting salary range for this role and market is between $45,000 – $55,000 annually. Factors that may affect starting salary include geography/market and the skills, education, experience, and other qualifications of the successful candidate.


Employees in this role are also eligible for a bonus in accordance with the terms of the Company’s applicable plan.

Depending on date of hire, and subject to applicable eligibility requirements, new employees in this role also receive up to: 12 days paid time off, 2 paid well-being days, 1 paid volunteer day, 12 paid holidays, and 3 floating holidays per year.
