Nestled in the foothills of Safford Peak and adjacent to the Saguaro National Park, in the magnificent Sonoran Desert of Southern Arizona, Sunflower is a premier Del Webb active-adult HOA community. A warm and friendly community with 967 homes at the base of the Tucson Mountains, in Marana. In this role, you’ll support the Community Manager by delivering outstanding customer service, assisting homeowners with CC&R compliance, coordinating with vendors and board members, conducting community inspections, and helping manage architectural reviews, records, communications, and daily operations to keep the community running smoothly and efficiently.
Position Responsibilities:
- Provides administrative support and other tasks as directed to Community Manager.
- Partners with AAM’s Management Team to ensure compliance with State and Federal Association Management Laws.
- Develops a working relationship with community board members and various committees.
- Assists with community inspections of common areas according to AAM’s management contract.
- Communicates with homeowners concerning compliance with CC&R’s.
- Review daily financials, process daily income, deposit income into USA Bank weekly and send paperwork to AAM staff account.
- Process semi-annual assessment payment and send to AAM Dropbox.
- Attend bi-monthly ARC meetings, process ARC applications, before and after the meeting, create agenda and write minutes for ARC.
- Assists contacting vendors for repairs.
- Maintains accurate and current association records and websites.
- Attend meetings as needed.
- Maintains open communication with contract vendors.
- Maintains strict adherence to community and company deadlines.
- Updates community disclosure packages.
- Maintains accurate and current association records.
- Meeting Minute Taker for Open Board meetings.
- Gives facility tours as requested by prospective buyers.
- Schedules and coordinates room reservations with clubs, groups, vendors and maintenance staff.
- Performs other duties as directed.
Knowledge, Skills & Abilities:
- Strong computer software and internet proficiency.
- Excellent interpersonal skills: positive written and verbal communication abilities.
- Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
- Exceptional organization and tracking skills.
- Proven customer service experience, with a strong emphasis on problem resolution.
- Ability to multitask and prepare and process large amounts of administrative and customer service items while being detail oriented.
- Ability to function efficiently in a high volume, fast-paced environment.
- Ability to interact and work positively and effectively with staff at all levels.
- Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management, staff, residents and Boards of Directors.
- Ability to work collaboratively and cooperatively within the department as well as with other departments.
Physical Demands & Work Environment:
- Sitting in an office setting utilizing a computer and other office equipment.
- May be required to lift boxes, fill paper trays, and other minor physical office related tasks.
- Sitting and standing for moderate periods of time.
- Driving community to inspect common areas per management contract.
