ResponsibilitiesThe Communications and Knowledge Management (KM) Associate provides substantive technical and operational support to the Communications and KM Officer by producing high-quality written and visual communication outputs and by supporting the systematic capture, organization, synthesis, and sharing of organizational knowledge. The role is designed for a professional who can work with minimal supervision, exercise sound judgment in content development and knowledge organization, and contribute to strengthening institutional learning and information use.
RESPONSIBILITIES
Knowledge Management
- Support systematic documentation of:
- Lessons learned
- Best practices
- Knowledge products and learning materials
- Organize, maintain, and improve digital knowledge repositories
- Apply established document management standards (naming, tagging, version control)
- Assist in synthesizing technical and narrative reports into structured KM outputs
- Support the development of learning briefs, snapshots, and summaries
Written Communication
- Draft, edit, and quality-check:
- Briefs and summaries
- Learning notes
- Internal and external communication materials (letters, press release, feature stories etc.)
- Ensure written outputs are clear, accurate, and audience-appropriate
- Support editorial review and content refinement processes
Visual Communication
- Develop presentations, visual summaries, and infographics
- Convert written communication and KM materials into visual formats
- Support visual documentation of workshops, events, and learning activities
- Ensure visual outputs align with branding and design standards
Coordination and Information Support
- Coordinate with teams to collect communication and KM inputs
- Maintain content calendars, trackers, and documentation matrices
- Support KM and communication requirements for events and learning activities
Required Qualifications
Education and Qualification:
- Bachelor’s degree in Communications, Fine Arts, Multimedia Arts, Library and Information Science, Journalism, Development Studies or a related field
- Minimum 3-4 years of relevant professional experience in Communications and Content Development and Knowledge Management, learning, or documentation support
- Demonstrated experience producing both written and visual outputs
- Experience organizing reports, learning materials, or institutional documentation
- Experience in health development, NGO, humanitarian, research, or policy environments is an advantage
- Proficiency in Microsoft 365 (Word, PowerPoint, Excel and SharePoint)
- Experience working with shared drives, document libraries or KM platforms
- Ability to manage content calendars, trackers and simple documentation databases
- Basic capacity to support monitoring of communication and KM outputs
- Strong organization and time management skills, detailed-oriented with a strong quality assurance mindset
- Ability to manage multiple deliverables with minimal supervision, strong coordination and collaboration skills and ability to handle sensitive information with discretion and professionalism
Skills Required
