We are seeking a Commercial Operations Coordinator to join the ThermalWorks team, working directly with the Commercial Cost Engineer, Accounting, Project Management, and Sales, and focusing on owning the process and the records behind ThermalWorks quoting activity. Track every request for quote from receipt through contract award, hold the schedule for quote turnaround, and provide a second review of every quote before it reaches a customer.

Key Responsibilities

Include but are not limited to:

Request for quote management
  • Maintain a complete log of every request for quote received, including source, date received, scope, site and responsible engineer.
  • Track quote turnaround time from receipt of the request to issue of the quote, and escalate any request approaching the agreed turnaround target.
  • Track quote aging after issue, recording how long each quote remains outstanding while awaiting a contract decision.
  • Follow up on outstanding quotes at defined intervals and record customer feedback and status.
  • Maintain accurate status for every opportunity from request through to award, decline or expiry.
Quote accuracy and review
  • Serve as the second reviewer on every quote before it is issued to a customer.
  • Verify that equipment quantities on the quote match the quantities identified from the site drawings.
  • Confirm that pricing, terms, exclusions, lead times and revision level are correct and current.
  • Confirm that the quote is issued against the correct contract reference and project code.
  • Maintain a record of corrections identified during review, so that recurring issues can be addressed at their source.
Change order management
  • Own the tracking of all change orders from request through to approval and issue.
  • Maintain the link between each change order and its parent project and contract reference.
  • Track the value and status of open change orders and report on them regularly.
  • Confirm that approved change orders are reflected in project records and communicated to Accounting.
Reporting and forecasting support
  • Produce regular reporting on quote volume, turnaround time, aging, award rate and value.
  • Maintain a forward view of expected revenue based on quoting activity.
  • Provide Accounting with visibility into cash flow projections arising from quoted and awarded work.
  • Flag changes in the data that warrant attention, including unusual aging, movement in award rate, and shifts in the type or size of work being requested.
Cross-functional coordination
  • Act as the single point of contact for quote status enquiries from Sales, Project Management and Accounting.
  • Coordinate with the Commercial Cost Engineer so that technical review and commercial review stay aligned.
  • Support the transition from awarded quote to active project, ensuring records are complete and handed over accurately.
Education and Experience
  • Associate or bachelor's degree in business, finance, engineering, supply chain or a related field, or equivalent experience.
  • Two or more years of experience in commercial operations, sales operations, estimating support, contract administration, project coordination or a similar role.
  • Strong spreadsheet skills and comfort working with detailed records and larger data sets.
  • Demonstrated accuracy and attention to detail, including experience checking the work of others.
  • Ability to manage a high volume of concurrent items with competing deadlines.
  • Clear written and verbal communication, including the ability to raise issues constructively with technical colleagues.
Specific Skills / Abilities
  • Experience in a capital equipment, manufacturing, construction or data center environment.
  • Familiarity with reading mechanical or electrical drawings sufficient to verify equipment quantities.
  • Experience supporting forecasting or cash flow reporting.
  • Experience with an enterprise resource planning system or a customer relationship management system.
  • Exposure to change order or contract variation processes.
