WHAT YOU CAN EXPECT
Part-time, 20 hours per week
Schedule is 8:00 a.m. to 5:00 p.m. two days per week, then 8:00 a.m. to noon one day per week.
Answers multi-line telephones answering the caller's questions or directing the caller to the appropriate party; utilizes proper telephone etiquette and responds within the defined service standards.
Develops and oversees inter-and intra-departmental communications, special projects, and services. Sends patient letters and other communications per clinic processes or as directed. Drafts memos, emails, and marketing materials to meet department needs. This includes, but is not limited to, newsletters and support group documents. Communicates problems and concerns to the manager/designee.
Opens and sort mail, including interoffice mail; sends letters and other communications per processes or as directed.
Maintains scheduling and calendars for management/providers, department, special events, and meetings. Makes arrangements and schedules meetings, conferences, conference calls, and appointments. Assists with preparation, sending notices, agendas, and other prepared materials to appropriate persons. Manages attendance and participation.
Enters information into various systems; runs and distributes reports as appropriate. Files documents in a timely manner. Develops and utilizes records management systems to ensure appropriate information is retained and easily accessible, and in accordance with record retention policies.
Assists with coordinating and maintaining records for orientation and training of new coworkers.
Prepares account reconciliations in order to ensure accuracy of financial reporting.
Compiles information to calculate and complete routine reports and summaries. Distributes as requested.
Gathers data and runs reports for tracking and follow up.
Oversees supply management for the department(s), completes requisitions, codes invoices.
Controls inventory par levels to ensure the correct volume of supplies is available.
Adjusts reorder timeframes to maintain adequate inventory.
Assists, resolves or escalates supply issues.
Submits requisitions to replenish stock.
Contacts various associates to obtain information or to resolve payroll, purchasing, and computer-related problems.
Creates and manages the department schedule to ensure all shifts are appropriately covered. Communicates concerns or issues to management.
QUALIFICATIONS
Associate's Degree, Business or Related Field Preferred
High School Diploma/GED Required
1 Year Secretarial Experience Required and
2 Years Healthcare Experience Preferred
