This is a remote position.
The primary purpose of the role is to ensure that client delivery is never missed and all compliance deadlines are met efficiently. Acting as a central operational anchor, the position does not require any accounting knowledge; rather, it centers on monitoring the complete firm-wide workflow dashboard, checking that appropriate tasks are active for each client, tracking team progress, and proactively following up with internal accountants who are falling behind schedule.
The environment suits an experienced, highly organised multi-tasker who is comfortable acting as a primary point of contact for international clients, external consultants, and internal team members. Collaborating closely with the Director and the wider administration division, the successful incumbent will enjoy extensive exposure to UK compliance structures while maintaining complete autonomous control over internal practice management schedules and operational processes.
Workflow Oversight: Oversee active work delivery across the entire firm, tracking accountant progress against designated timelines for all types of work to ensure completion shortly after year-end and well ahead of statutory deadlines.
Dashboard Monitoring: Monitor the overall practice management software dashboard systematically, checking and confirming that the correct jobs are active for each individual client across the multi-disciplinary team.
Reporting & Escalation: Generate weekly deadline reports to formally flag work that is falling behind schedule within the internal production team.
Client Authorisations & Access: Obtain 64-8 client tax agent authorisations, assign clients on the HMRC Government Gateway agent portal, configure required digital logins, and set up Income Tax Viewer access.
Registrations & Compliance: Administer tax number registrations, manage annual compliance checks on all accountants to verify up-to-date memberships, professional insurance, and CPD records, and handle new accountant onboarding.
Communication Management: Manage the shared central administrative mailbox alongside personal correspondence networks, and answer incoming office phone lines routed through internal computer applications.
Process Improvement: Identify and drive operational process improvements through to implementation, keeping corporate process maps accurately updated to reflect real-time practices.
Project Roll-out: Manage project roll-outs and direct the practical implementation of evolving statutory updates and regulatory changes from authorities.
Business Growth Tracking: Document and track internal data metrics related to work won and work lost to support business growth monitoring.
Administrative Support: Execute ad hoc office administration tasks daily, while providing robust operational backup and holiday cover for other team members during leave cycles.
RequirementsEssential Requirements
First language English speaker with an excellent command of written and spoken English.
Minimum of 5+ years of experience in an administrative, practice support, or client services role, ideally within an accountancy or professional services environment.
Proven experience working with practice management software and a high level of comfort tracking dashboards and workflow delivery across a team.
High level of personal organisation, with an eye for deadlines and a demonstrated ability to track and chase progress across multiple consultants concurrently.
Strong communication and client relationship skills, showing absolute professionalism, diplomacy, and a supportive demeanor when navigating client queries.
Proficient with cloud-based professional systems and standard office utility software, combined with a proactive multi-tasking approach and the ability to work autonomously.
Documented willingness to undergo a mandatory pre-employment Qualification Authenticity Check and criminal record verification.
Previous professional experience implementing change, coordinating projects, rolling out new software requirements, or developing new internal processes and workflows.
