JOB PURPOSE
The Central Ministry Administrator supports the Head of Church Ministry and the Central Ministry leaders with the day-to-day administration that keeps their work running. This covers scheduling, records, events, volunteers, and communication across Community, Next Gen, Attraction, Events, Missions, SPD, and Church Planting.
KEY RESPONSIBILITIES:
1. Administrative Support
- Support the Head of Church Ministry and the Central Ministry leaders with scheduling, calendars, and appointments.
- Keep ministry records, documents, and files (digital and physical) organized and confidential.
- Help prepare correspondence, newsletters, and other communication materials.
- Order and manage office supplies so each unit has what it needs.
- Keep track of ministry resources, materials, and inventory.
2. Event Planning and Coordination
- Coordinate events, meetings, and outreach activities, including logistics and volunteers, across Community, Next Gen, Attraction, Events, Missions, and Church Planting.
- Prepare agendas and participant materials, and manage event registrations.
- Make sure events have the resources and support they need to run smoothly.
3. Volunteer Coordination
- Act as the main point of contact for volunteers, keeping communication clear between them and the ministry leaders.
- Support leaders in managing volunteers, including tracking engagement and processing stipend payments where applicable.
- Schedule and coordinate volunteer teams for program and church-wide activities.
- Build good working relationships with volunteers and support them as needed.
4. Communication
- Keep communication clear between the Head of Church Ministry, Central Ministry leaders, volunteers, and the congregation.
- Work with the Central Communications team on relevant campaigns and provide information promptly when needed.
- Send out ministry communications, including bulletins, announcements, emails, and text messages, to the congregation.
5. Financial Management Support
- Track ministry expenses, support budget preparation, process invoices, and put together monthly financial reports.
- Work with the Central Finance and Internal Audit teams to keep financial records accurate.
- Keep financial documentation organized and submit it on time.
6. General Office Management
- Answer calls, respond to emails, and provide general office support to staff, members, and guests.
- Welcome visitors and give them information about Central Ministry programs
- Keep the Central Ministry office organized and well maintained.
Requirements
- HND or BSc in Public Administration, Business Administration, or a related field.
- Minimum of 4 years’ relevant experience in administrative support, office administration, ministry administration, executive support, or a related role.
- Experience working with senior leaders or managing administrative support across multiple teams is an advantage.
- Experience in a church or ministry environment is an advantage.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Good written and verbal communication skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office and other relevant administrative tools.
