The Role

We are seeking a proactive and detail-oriented Business Support Specialist to join our India office based in Mumbai. This role is responsible for supporting and optimizing the overall operations for 3Shape in India. You will be a key player in ensuring our business runs smoothly, overseeing critical functions including administrative support, daily operations, sales ops support, inventory management, AR management and other aspects of a growing organization.

Reporting to the India Country Manager, you will work in close collaboration with the local commercial team as well as our global functions in Copenhagen and Poland, including Production, Global Supply Chain, and Finance. You will also be the main point of contact for our external partners, such as third-party logistics (3PL) providers and accounting firms.

Key Responsibilities

As a Business Support Specialist in Mumbai, you will be responsible for:

• Managing and optimizing daily operations to ensure maximum efficiency and effectiveness.

• Serving as the primary operational contact for our external 3PL provider and finance/accounting partners.

• Coordinating and ensuring timely and compliant customs clearance for all imports and exports.

• Overseeing inventory management, including tracking stock levels, managing inflow/outflow, and optimizing warehouse operations.

• Processing customer orders accurately and coordinating with logistics partners to ensure timely delivery schedules are met.

• Generating and issuing tax invoices (in compliance with GST regulations) and preparing financial statements for transactions.

• Maintaining accurate records, reports, and documentation related to all operational activities.

• Managing day to day operations by collaborating with our resellers and other partners

Skills & Qualifications

Required:

• Education: Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field

• Experience: 3+ years of experience in a similar role such as Operations, Sales Support, or Administration.

• Skills:

o Strong analytical and problem-solving skills with a data-driven mindset.

o Exceptional attention to detail and a high degree of accuracy.

o Excellent communication and interpersonal skills, with the ability to collaborate effectively across functions and cultures.

o Full professional proficiency in English (written and spoken).

o Advanced proficiency in Microsoft Office Suite, particularly Excel.

Preferred (Good to Have):

• Experience working within the healthcare or medical device industry.

• Experience working with an ERP system (e.g., SAP, Oracle).
